Examples of Office Administrator responsibilities are listed but not limited to the following:

Update and maintain all employee records in current system and employee files

Collect, distribute, and mail out company letters/packages

Order supplies for office as needed

Faxing/Copying/Printing/Scanning/Uploading digital files

Create, organize, and file company and staff digital records

Maintain digital records for certain correspondence

Handle requests and queries with accuracy and expeditiously

Keep office organized and tidy

Perform other related duties as assigned by Manager(s)

Examples of Bookkeeper responsibilities are listed but not limited to the following:

Perform all activities related to accounts payable function including reviewing and processing payments

Process invoices and mail out vendor checks

Enter deposits and maintain A/R accounts send out statement as needed

Conduct reconciliation on all accounts on an as needed basis

Reconcile bank Statements and credit card statements

Maintain QuickBooks account(s)

Produce account summaries on request

QUALIFICATIONS

Associates Degree (all majors), or 4 years work experience in office administration or similar experience

Basic Bookkeeping knowledge required

Local candidates only (office is located in Irvine, Ca)

Discretion and trustworthiness -You will be privy to confidential information and will need to sign a Non-Disclosure Agreement

Exceptional telephone skills and professional etiquette

High degree of accuracy and attention to detail

Excellent organizational skills, ability to prioritize, and comfortable working independently

Must be able to lift min. 10 lbs.

Hours-8:00-4:30
