Summary:

The Data and Finance Manager is responsible for providing accounting, operating, and recordkeeping support for the Early Learning Center at Kaune. The Data and Finance Manager will also ensure prompt, courteous customer service/support to ensure smooth operations and communications between families, the community and Growing Up New Mexico programs and administration. This position requires excellent bookkeeping skills, effective oral communication, adherence to deadlines, ability to anticipate and manage operational needs, and multi-tasking. Reliability and accuracy are essential as this position is the primary individual responsible for overseeing the financial and data tracking processes as outlined below. Occasional local travel is required for errands or events.

The focus of our work is to demonstrate and implement effective and proven early childhood and family support strategies, prenatal to age five, focused on quality, equity, and access. Growing Up NM utilizes two parallel, mutually informed strategies in all we do: a local programmatic approach and a state-wide policy approach, with each continually informing the other.

Key Areas of Responsibility:

Manage and process weekly Accounts Receivable (A/R) to include:

Invoicing for childcare assistance and private childcare payments.

Tracking scholarship awardees and amounts.

Invoicing/documenting drop in fees, late fees, miscellaneous costs.

Manage and process childcare assistance contracts, including monitoring contract renewal dates, tracking attendance, and ensuring CCA payments from the state are correct.

Interface with customers to ensure that A/R remain current.

Oversee customer service, A/R, collections, and data entry.

Responsible for the preparation, reconciliation and submission of weekly bank deposits and check requests to the Finance Department.

Reconcile cash, credit cards, and prepare monthly expense reports.

Responsible for determining training needs and scheduling sessions for Kaune staff, including CPR/First Aid and other mandatory training sessions.

Responsible for the organization of emergency drills as required (fire drills, lockdown, etc.) and ensuring proper documentation is maintained.

Manage the maintenance of daily schedules for all Kaune staff to ensure accurate classroom coverage.

Assist employees with timesheets and administer biweekly preparation of payroll.

Be on-call during evenings, early morning time, and weekends for scheduling needs.

Responsible for maintaining employee files.

Provide support in maintaining overall documentation and filing system (child and employee records).

Complete onboarding/exit process for Kaune staff, including training and equipment needs.

Provide accounting support and assist in the day-to-day efficient operations of finance.

Evaluate and make recommendations for necessary changes to ensure accurate controls and monetary reporting. Implement revisions or modifications to the accounting, operating, and recordkeeping system and procedures; analyze current conditions of approved budgets and review financial statements; provide a high level of technical expertise in the accounting, evaluation, and monitoring of the financial resources; implement improvements and set policies relative to fiscal management and financial controls; and.

Responsible for preparation and oversite of the annual independent audit.

Manage the monthly budget tracking, including close communications with the Director and the Growing Up New Mexico Controller to facilitate timely and accurate budgets, contracts, and grant management.

Responsible for the organization, monitoring, and upkeep of reports, including but not limited to: monthly meal counts, daily attendance, COVID testing/positive cases/close contacts/mandatory weekly reports, staff training tracker, enrollment numbers per classroom, etc.

Responsible for ensuring EPICS data entries are completed, correct, and up to date per state requirements for student enrollments, staff members, ASQ screenings, staff coursework completion, etc.

Participate in departmental and organization-wide meetings as appropriate.

Responsible for office building and asset maintenance and inventory.

Conduct procurement process for assets, services, supplies, etc., as needed.

Monitor program and licensure standards to ensure program compliance and reports irregularities to the supervisor.

Monitor program contracts and/or grants and align with budget; responsible for maintaining calendar of renewals and coordinate with Director of Early Learning for renewal process.

Manage Child and Adult Care Food Program (CACFP) process to ensure compliance which includes oversight of eligibility determinations, data entry, analysis of meal counts, reporting, etc.

Responsibility for the COVID-19 response efforts within Kaune, including: making determination of when staff/children need to test/quarantine/isolate, editing and sending out the letters to families and staff, organizing the cleaning process, submitting required reports to ECECD as required.

Oversee attendance records and database information in Brightwheel.

Ability to respond to all parents that come to you in a timely manner.

Provide support in answering office phones as needed.

Perform within the prescribed limits of Growing Up New Mexico’s ethics and compliance policies.

Perform other duties or assignments as assigned by the Director of Early Learning.

Qualifications:

High school diploma or GED plus two-year accounting or business degree; prefer higher education degree, specifically in business/management/accounting/human resources or closely related coursework.

Four years of bookkeeping experience, preferably in a non-profit environment.

Bilingual (English/Spanish) being able to communicate with families, Spanish required.

Excellent organizational skills, efficiency, and accuracy with details.

Knowledge of general office software, particularly the Microsoft Office Suite, and extremely strong Excel skills.

Able to work with basic supervision, with initiative and good judgment.

Ability to handle confidential information with discretion.

Excellent oral and written communication skills.

Ability to function effectively as a team member and work independently.

Ability to work well in culturally diverse setting and knowledge of local population served.

Ability to pass a mandatory background clearance required of all childcare workers in the State of New Mexico.

Perform within the prescribed limits of Growing Up NM’s ethics and compliance policies.

While performing the duties of this job, the employee is regularly required to stand, walk, sit for prolonged periods, and use computer equipment and cell phones. The employee is occasionally required to reach with hands and arms, stoop, kneel, crouch or crawl. The employee must be able to lift 40 pounds. Occasional local travel is required for meetings, events, and errands.
