We're looking for a resourceful, energetic and outgoing Executive Assistant to join our team at Albany NY office. This position is responsible for day-to-day office administration, purchasing, some accounts payable, reception, meeting coordination, travel arrangements, facilities management and administrative support for the CEO.
The ideal candidate will have excellent communications skills, be well organized with the ability to multi-task and have a "can do" attitude.
Responsibilities
Maintain office areas and equipment, office supplies, furniture, etc.
Re-stock office supplies, snacks and refreshments
Coordinate purchasing for job Materials
Match vendor invoices and obtain departmental approvals
Support new employee on-boarding
Process expense reports for CEO
Coordinate and book travel arrangements for CEO
Handle scheduling, voicemail, and mail for CEO
Maintain accurate records and files
Assist with special projects as needed including some personal assistant support to CEO
Requirements
Strong people skills, including the ability to work effectively as part of a team and across multiple functional areas
Excellent communications skills, both written and verbal
Excellent organizational skills
Ability to multi-task
Familiarity with Microsoft Office products
Associates/Bachelor's degree
