Spay/Neuter Clinic Coordinator /Scheduler

We serve the community by sheltering animals, finding them homes, investigating reports of animal cruelty, educating people of all ages, and rescuing animals from threatening situations. Spay/Neuter Clinic Coordinator is responsible for scheduling appoints, preparing all paperwork and mailing surgery reminders, telephone reminders, check-in and check-out of patients, money collection, responding to S/N Clinic phone calls as needed, tracking and proper allocation of grant award to income qualified individuals within grant requirements. Additional tasks as directed by Management.

Part-time; 32 hours/week

Responsibilities

Acknowledge and greet all clients in a professional and timely fashion.

Properly and accurately prepare all client records

Accurately prepare invoices for clients in the clinic.

Handle all financial transactions and reconcile client files as needed.

Answer telephone calls promptly and professionally.

Schedule all surgery appointments.

Make appointment reminders and follow-up calls.

Complete and file all records.

Process all forms and other paperwork required for intake and discharge of animals.

Prepare prescription labels for pain meds as prescribed by Veterinarian

Reconcile the financial transactions.

Provide general office support such as typing, filing, sorting material, preparing forms.

Able to lift at least 50 pounds without assistance.

Perform any other tasks as assigned.

Assist with clinic responsibilities by supporting the veterinary team

Ensures that surgeries will be scheduled to meet optimum numbers and balances.

Phone messages are responded to in an expedient manner.

Professional and friendly interactions with clients at all times.

Regular handling of animals (dogs and cats) required

Qualifications:

HS diploma or equivalent.

Experience working in an office environmentAnimal Shelter Preferred.

Competent with numbers.

Able to lift at least 50 pounds without assistance.

Knowledge of office based programs preferred.

Proven organizational skills.

Excellent communication skills and comfortable working with the public.

Ability to work in a high-volume environment.

Experience in working in an animal shelter or veterinary clinic preferred

Competent animal handler

Competent in Microsoft Office applications

Working Conditions

Work is performed in an animal shelter environment with exposure to seasonal outdoor conditions.

Evening work may be required.

Animal contact and related injuries, including bites and scratches, may occur.

Must be comfortable handling dogs and cats on a daily basis. Will handle sick, injured, or deceased pets.

Noise exposure varies and often includes uncontrolled barking and other animal vocalizations.

Animal waste contact, smells and visual exposure is prevalent.

Frequent exposure to and/or handling of industrial cleaning supplies.

Occasional lifting up to 75 lbs. with reasonable accommodations.

Frequent walking, bending and stooping in kennel areas.
