POSITION SUMMARY:

The office manager is responsible for the financial, personnel, and clerical functions at the Delaware Family Branch Y.

GENERAL WORK SCHEDULE:

The office manager will work 40 hours per week, and must be available to work a flexible schedule when necessary. A typical weekly schedule is Monday “ Friday, 8:30 am “ 5:00 pm.

ESSENTIAL FUNCTIONS:

1. Responsible for the accurate sale of program, membership and services. Serves as business software specialist; is knowledgeable and proficient.

2. Manages branch accounts receivable. Responsible for accurate billing, collections and cash applications. Ensures the daily deposit of all cash.

3. Oversees and manages the purchase order process and the management of petty cash funds.

4. Ensures that front desk and program staff are informed and able to communicate information to members and guests effectively.

5. Oversees all office functions such as office equipment and office supplies.

6. Maintains employee records, including attendance and payroll. Responsible for the accurate and timely completion of personnel paperwork and time recording for payroll. Ensures that all personnel policies and procedures are communicated and enforced. Provides advice and consultation to management regarding employee issues.

7. Stays current on program and membership information to communicate effectively with members, guests, and program participants.

8. Ensures policies are communicated and followed at the Front Desk.

9. Works with department supervisors to resolve member/participant concerns.

10. Performs clerical and administrative tasks, which includes written communication, maintaining paper work/ electronic files and records.

11. Responsible for reviewing accounts and checking for accurate billing, collections and cash applications for membership.

12. Supports front desk staff when necessary by answering phones and performing the duties of a member service representative.

13. Participates as a team member during special promotions, membership initiatives, and annual campaigns.

14. Attends training sessions and staff meetings as required.

15. Performs other duties as assigned.

QUALIFICATIONS:

1. Two or more years of experience in office management with a focus on customer service.

2. A strong working knowledge of billing and collections procedures is required.

3. Excellent interpersonal and problem solving skills.

4. Excellent organizational skills.

5. Ability to relate effectively to diverse groups of people from all social and economic segments of the

community.

6. Proficiency in Microsoft Office software.
