This position will serve as an Association and Taste NY Administrative Assistant for Cornell Cooperative Extension Association of Nassau County. This position will be responsible for providing routing office assistance to members of the Nassau County Administrative Team, focusing on assisting the IT Communication Coordinator with miscellaneous office administrative and printing needs. Primary responsibilities include, but are not limited to answering phones, copying, word processing, database manipulation, spreadsheet development, and coordination and maintenance of the Association Print and Mail rooms. This position also supports the Long Island Taste NY Market place/Welcome Center. Primary responsibilities include assisting customers in a food service setting, self-check-out, maintaining clean and organized work stations and ensuring a clean guest area. The Taste NY Clerk assists with quality beverages and food products consistently for all customers by adhering to all Taste NY standards, follows health safety and sanitation guidelines for all products. Anticipates customer and store needs by constantly evaluating environment and customers for cues. Inspect the store for cleanliness, organization and refill supplies as needed. The Taste NY clerk is expected to discuss Long Island agriculture and local foods with customers, utilizing provided information and engage them in the areas of local agriculture products sold in the store.

Required Qualifications:

High School Diploma or equivalent education.

- Experience relevant to the role of the position.

- Valid NYS Drivers License and the ability to meet travel requirements associated with this position.

- Ability to meet acceptable background check standards (DMV and criminal background checks).

- Ability to work flexible hours which may include evenings and/or weekends, as appropriate.

- Must be able to drive personal or Association vehicle for pick-up and delivery of product from the warehouse to the CCE Nassau Market (hand cart may be used for transportation purposes).

- Must be able to lift 50 lbs.

- Proficiency with windows-based software including use of the internet and Microsoft Office Suite, including Outlook, Word, PowerPoint, Access, Publisher, and Excel.

- Ability to plan and organize personal work responsibilities according to priorities with immediate supervisor.

- Ability to work with a high degree of integrity, sound professional judgement, and the ability to handle confidential and sensitive information.

- Ability to follow oral and written instructions and assume responsibility with general guidelines and direction.

- Ability to communicate effectively through verbal, written and visual channels using traditional methods and educational tools, as well as electronic technology (e.g., video, audio, computers, etc.).

- Ability to participate in professional team efforts.

- Ability and willingness to work with diverse audiences and maintain cultural sensitivity.

Preferred Qualifications:

- Associates Degree or technical/vocational school degree in business and/or secretarial science and three (3) years of relevant experience.

- One (1) year retail sales experience.

- Experience working in customer service and retail environments.

- Experience with mailing equipment.

- Understanding of basic marketing.

- Ability to handle multiple tasks.

- Knowledge of the organization, operation, philosophy and objectives of Cooperative Extension.

- Knowledge of agriculture and agricultural practices.

Responsibilities/Essential Functions

Administrative Responsibilities:

Coordination/Operation - 95%

- Provide routine office assistance; answering phones, copying, assist with grant vouchering, record keeping, etc.

- Assist with a wide variety of clerical duties including, but not limited to: word processing, database manipulation, and spreadsheets.

- Collect, sort and post daily office mail. Check and distribute mail to appropriate individuals.

- Keep track of maintenance and all records of materials produced and mail dispersed, ensuring that proper accounting is made to different programs and grants.

- Coordinate printing requests of reproduction of materials.

- Mount and laminate teaching and advertising materials.

- Maintain postage machines for first class mail as well as for bulk permits.

- Maintain printing machinery, call for service when needed.

- Proficiently operate production and mail equipment, including but not limited to: multi-function printers, finishing and binding equipment and postage machine.

- Distribute packages and completed print production jobs as scheduled, need and requested (ex. Newsletters, brochures, flyers, etc.).

- Assist supervisor with monitoring and maintaining inventory for printing and distribution supplies (ed. Toner, paper, envelops, and janitorial supplies).

- Sorts, posts and re-directs mail for external deliveries. Operates postage meters and goes to Post Office/UPS/Fedex.

- Prepares bulk mail and packages and delivery to Post Office when needed.

- Enters data in databases and spreadsheets.

- Maintains a neat and organized workspace.

- Coordinates and makes inter-office deliveries when needed.

- Taste NY Customer service “ greets, assists and serves the needs of store customers.

- Taste NY Store inspection, organization and recordkeeping.Must assist in maintaining a clean facility.

- Taste NY Cash Controls “ follow all procedures for proper management and handling of cash.

- Replenishment of Taste NY store supplies and inventory.Track product inventory.

- Receive and log scheduled deliveries.

- Assist with promotion of agri-tourism on Long Island.

- Describe the local farms, produce, food and products displayed.

- Assist with providing quality beverages and food products consistently for all customers by adhering to all Taste NY standards.

- Monitor product expiration dates and observe First in First out practices.

- Follow health safety and sanitation guidelines store inspection, organization and restock as needed.

- Work with supervisors to learn about products being sold in the store.

- Maintain equipment, troubleshoot if necessary and alert manager (such equipment will be cash register, coffee and expresso makers).

- In cooperation with Supervisor and/or Executive Director, jointly develop and pursue a professional development plan as a means to increase competencies relative to position accountabilities and to address changes and Association priorities.

- Collaborate in activities that are in general support of Cornell Cooperative Extension and perform other duties as assigned.

POSITION DETAILS:

This is a non-exempt, full-time position, 87.5% FTE, 35 hours per week.
