Coordinates all Office Services activities in the Research and Development Site in addition to 350, 155, 145 and JHL locations when assigned. Ensures timely and accurate distribution of mail, packages and hand delivers. Creates and tracks certified mail documentation. Inputs cost center allocations to charge back mail allocations when required. Must be flexible and travel to mail centers at all nine Long Island locations independently to back up mail services employees when needed. Supports general Office Services support functions i.e. internal employee moves, Employee Resource Groups, Shredding and recycling initiatives when needed. Excellent communication and customer services skills required to locate packages and expedite deliveries as needed. Knowledge of all Long Island related mail runs, postage machines, and various shipping and receiving end user programs and services.Responsibilities:Sort and distribute USPS, courier and interoffice mail in the Research Park, Melville and JHL buildings. Packaging of mail for additional locations: 350, ASR, RP, JHL, 80 Ruland Road, 145/155 Pinelawn Road, 65 Maxess Road, NYO and Norhtec. Train and cross-train Office Services personnel (permanent and temporary) on a consistent basis to refresh and adapt to changes in mail delivery routes, customer requests, employee location changes and building logistics. Responsible for the delivery tracking of all computers, printers, laptops and related peripheral equipment. Secures proof of delivery signatures for computer equipment and envelope/package hand deliveries. Produces proof of delivery when requested. Postage outgoing mail using a Pitney Bowes postage machine at Research Park and JHL locations. Maintain and submit monthly reports of all shipping, receiving at Research Park (125), Ensure timely movement of priority mail, packages and UPS shipments using UPS World Ship and Campus Ship programs. Create documentation to track certified mail.Working hours: 8:30 AM - 5:00 PMSkills:Receives and reviews employee location changes to the Long Island complex and posts or updates any personnel changes/movement to mail roster via automated Cubman program. Researches incorrectly addressed incoming mail and packages by reviewing any form of available information with vendors and internal customers. Address mail and packages that arrive without employee name or department identification. Works with employees to locate lost mail or packages to resolution. Support Office Services related deliveries and activities by coordinating location delivery of furniture and multi function equipment at each location/department. Escorts service technicians, delivery personnel and various trades when needed. Assists internal employee relocation by delivering packing/moving supplies and physically relocating employees' desk contents, PC's and light furniture when needed. Retrieves and collects moving supplies. Partners with various Long Island ERG resource groups and programs to support a variety of recycling programs, clothing drives, food drives, etc. including the distribution and collection of donation boxes for numerous initiatives.Education:No Degree RequiredExperience:Entry LevelQualifications:Ability to lift up to 50 lbs. of boxes, packages, furniture and equipment. Experienced in maneuvering hand-jack, pallet jack and mail hand carts. Operate UPS World Ship and Campus Ship and Pitney Bowes postage machines in support of Long Island complex shipping and receiving operation. Review and apply cost centers for mail postage equipment. Problem solving and ability to work in fast past environment to meet shipping and receiving deadlines. Flexibility to work in all locations of the Long Island Campus. Ability to load and unload company owned package/parcel transport vehicle between building locations. Perform internal employee moves by relocating packed desk contents, light furniture and PC equipment.
