Maintains contacts and calendar, appointment scheduling and conference arrangements. Handles logistics associated with meetings, appointments and conferences.
Schedules and organizes logistics for department and retail-wide meetings such as the monthly bestseller meeting, monthly buying team off sites, buy reviews, showroom walkthroughs and seasonal strategy meetings
Proactively handles and prioritizes incoming and outgoing communications/emails, calls, reports both external and internal
Files and organizes communications to ensure smooth and timely flow of information in and out of the office. Consolidates information from multiple sources to facilitate supervisors’ review.
Makes travel arrangements for the SVP, Planning & Allocation and the SVP, Buying and team to retail locations in the US and Canada, and completes detailed expense reports. Confirms meetings and create itineraries for trips
Works closely with the Buying leads and Planning leads on numerous projects including presentations for leadership meetings
Creates, formats and edits correspondence and presentations with precision and minimal direction
Follows up on various activities to ensure completion and deadlines are met
Process invoices and generates seasonal or quarterly reconciliation reports
Maintains filing system & references, Business Continuity Plan, and office supplies
Facilitate new employee set-up
Works independently on specific projects as assigned
Added Buying, Planning and Allocation team to scope of support for all Admin needs
Onboarding new associates & IT requests
Mock store scheduling
Run any NYO team wide meetings/town hall
Communicate all team wide HR deadlines, policies, reminders
Employee Engagement/Culture Ambassador & Social Committee lead
Handle Summer Interns, on-boarding, interviews
Miscellaneous requests and support the teams when necessary
QUALIFICATIONS:
3 -5 years’ experience as an administrative assistant, preferably with experience in a buying, planning and/or visual environment
Comfortable with online meeting software, video conference, and remote meeting set-up
You are ok navigating text, team and emails to organize their leaders - multiple forums of communication to synthesize
Experienced in organizing work events, breakfast meetings, supporting leaders with their lunches etc.
Education: Bachelor’s Degree (or equivalent) preferredSkills:
Detail-oriented and highly organized with a desire to maintain schedule, filing systems and calendar
Strong sense of urgency; strong prioritization & follow-up skills
Excellent at handling changing priorities; multi-tasking
Excellent verbal and written communication skills, including ability to draft correspondence with minimal direction
Possess exceptional interpersonal skills
Proactive and resourceful with all tasks
Strong project management skills
Agile & flexible
Experienced knowledge of PowerPoint
Strong knowledge of Outlook, Excel & Word, Managing Multiple Outlook Calendars, Macros a plus
Capabilities in excel and outlook and multi diary management, I think Chris use of macros to make automated emails for example on excel is great and would create more efficiencies
Preferred if worked w/ retail product teams
Responsible for handling constantly-changing calendar and travel schedule, while insuring accurate prioritization of meetings and ensuring that vital business obligations are met.
Resourcefulness is a strong component of this position, as the schedule and obligations of the role will be ever changing. The Executive Administrative Assistant must be creative and resourceful when it comes to scheduling or re-scheduling travel arrangements, meeting times and/or locations, etc.
