4874BRRequisition ID:4874BRJob Description:We are seeking a Licensing Coordinator based in our NYC office. This individual is responsible for ensuring that all Agents associated with Citi Habitats are duly licensed with the New York State Department of State and properly documented in our systems. The Licensing Coordinator is also responsible for ensuring compliance with all policies related to the Independent Contractors Manual, internal, REBNY and DOS. This position works closely with the Senior Managing Directors, Legal and the Independent Contractor Relations teams.Responsibilities include, but are not limited to:
Collect, create and maintain internal record of all real estate licenses and documentation for agents, managers, employees, and branch offices.
Respond to external and internal email and telephone inquiries.
Update, edit and upload recruiting and onboarding forms into company intranet.
Maintain Agent’s record in our proprietary system; such as, activation, deactivation, demographics changes, license status, commission splits, etc.
Assist the Legal team in gathering Agent information for court-ordered subpoenas.
Assist Agents and Office Managers with licensing issues with the NYS Department of State (DOS) licensing transactions; such as, initial salesperson application, associate broker application, license renewal, change of association, change of branch, disassociation, etc.
Ensure accuracy and compliance with DOS, REBNY, NRT and Citi Habitats Agent affiliation documentation.
Maintain companywide branch approval and process new branch applications with the NYS Department of State (DOS). Ensure continued licensure.
Resolve licensing issues (working as liaison between Brokers and DOS).
Educate all Agents on licensing requirements and required education courses.
Draft association letter to verify Agent associations.
Utilize various reporting tools to run reports for management team.
Oversee and manage REBNY membership and dues.
Collect Referral Director agreements and sign-up fees as well as maintain log of all Referral Directors.
Assist in special projects as needed.
Job Requirements:
Bachelor's degree or equivalent; may consider candidates without a degree given applicable work experience.
1-2 years’ experience working in the Real Estate industry is a plus.
Excellent verbal and written communication skills.
Excellent time management skills and organizational skills.
Ability to interact successfully with both internal and external customers at all levels.
Ability to multi-task, prioritize and be flexible with changing business needs in a team environment.
Excellent interpersonal skills.
Proficient computer skills.
