Seeking an Executive Personal Assistant for the lead visionary and founder of Chai Pani Restaurant Group, a growing company including 7 restaurants and Spicewalla (our spice company based in Asheville). Office hours will be at our headquarters in Downtown Asheville, with some work from home flexibility.

This is an executive office position, not a restaurant position. No restaurant experience necessary, but a passion for excellence is a must. Primary Responsibilities:

Support executive directly as the go-to person for all needs, including daily administration, calendar management, travel schedules, project coordination, presentations, answering calls, etc.

Maintain executive's schedule and calendar, tracking any changes and communicating accordingly.

Serve as a spokesperson for the executive on all matters.

Provide administrative support.

Make administrative decisions and take action in the executive's absence.

Assist in booking and planning travel for Executive

Track relevant expenses and liaise with finance for reimbursements and record keeping

Follow-up on executive action points from meetings, conversations, and correspondences - be vigilant about taking ownership of tasks and seeing them all the way through.

Protect executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating and tracking communication

Coordinate projects by capturing timelines and strategies and delivering progress updates.

Prepare meeting rooms for appointments, coordinate schedules, and greet guests prior to meetings.

Keep, prepare, and distribute minutes of meetings as needed.

Correspond daily with executive with status updates for all ongoing projects and action items needed from executive.

Track all incoming emails, ensuring that messages are promptly being responded to and forwarding to executive, as needed.

Manage executive's mail, including returns.

Assist with meeting preparation including creating and maintaining agendas and task lists

Support personal projects and assignments including personal errands, travel bookings, reservations, and any delegated task - personal or professional.

Occasional support presence on film shoots, travel, and photo shoots.

Communication:

Be available to all company staff members and guests on a daily basis, function as lead communicator on behalf of executive.

Briefings with executive, as needed

The Essentials:

This is primarily a Monday to Friday Office Hours position (9am to 5pm), but flexibility beyond those hours is essential, including possible travel.

Relevant candidates must have extensive comfort in G-Suite products - from google drive to email and spreadsheets.

A successful candidate will have an innate ability to anticipate needs, enjoy helping others, and have impeccable attention to detail and organizational skills.

Proven ability to manage a flexible schedule

Exemplary planning and time management skills

Outstanding verbal and written communications skills

Ability to interact with high profile clients, executives, and treat everyone on our team and anyone trying to reach executive with respect, warmth and care.
