We are a local company looking to add a reliable, professional office assistant to our administrative staff.

Applicants should be comfortable communicating over the phone and via email with clients and account holders and should have knowledge of professional correspondence etiquette. An ideal candidate should be able to follow through on tasks, be comfortable dealing with a variety of customers and always uphold company standards and policies.

Proficiency with Google suite, managing and utilizing different phone applications and general computer knowledge required. Strong worth ethic and ability to self-start and complete long term projects necessary. Knowledge of real estate transactions and local geography a plus.

Job Description

Work alongside a dedicated office team to schedule customer’s appointments and support field staff. Answer a high volume of incoming calls and provide office support. Other duties include permit and property research, invoicing customers and managing accounts payable, and fostering positive relationships between the company and long term partners. Assist with other departments as assigned to ensure customer’s needs are being met in a timely manner.

Job Duties

- Confidently and quickly assist customers on the phone

- Schedule appointments utilizing booking software

- Manage the field technician’s calendar and dispatch jobs accurately

- Communicate with customers and service partners to ensure jobs are scheduled correctly

- Create and send out client paperwork

- Create and send out client invoices

- Collect payments accurately and promptly

- Other duties as assigned
