Part – Time Customer Service Representatives

General Statement of Duties

Performs responsible administrative and clerical work in support of the utility billings, collections, and customer service functions.

Distinguishing Features of the Class

An employee in this class is responsible for the activities involved in the establishment and maintenance of customer utility accounts; handling customer inquiries relating to utility billings and general services; preparing and verifying a variety of reports and records; collection of utility bills and other revenue; and coordinating with the field services functions. Work involves multiple detailed procedural steps and requires independent knowledge of the utility billing and collections process and computer application. Considerable tact and courtesy are required in these public contact functions. Work is performed under regular supervision and is evaluated through conferences, by accuracy and timeliness of customer service records and bills, and thoroughness of assigned responsibilities.

Duties and Responsibilities

Essential Duties and Tasks

• Accepts and processes utility payments, permits fees, licenses and other fees collected by the Town

• Accurately handles customer funds and processes transactions thru the Town’s accounting system

• Screens calls and inquiries, receives and greet visitors; secures and gives information; resolves public and employee request for service or information

• Processes customer requests for new services, transfers, extensions, and disconnections; generates work orders for the utility departments on new or existing customers

• Responds to and/or contacts customers on service issues; explains policies and procedures and resolves customer problems and complaints using established procedures; refers customers to supervisory personnel if not resolved

• Coordinates with the utilities personnel and the departments responsible for the various utility functions within the Town

• Backs up other staff members as needed.

• Performs related duties as required.

Recruitment and Selection Guidelines

Knowledge, Skills, and Abilities

• Experience in Customer Service, preferably in a retail setting

• Working knowledge of standard operating practices involved in modern office operation and serving the public.

• Skill in collaborative conflict resolution.

• Ability to deal effectively with the public in a courteous, tactful and effective manner.

• Ability to create and maintain accurate records, reports, and files in support of a cash receipt and customer oriented operation.

• Ability to operator calculator, computer terminal, cash register, and related office equipment at the desired level of speed and accuracy.

• Ability to communicate effectively in oral and written forms.

• Ability to establish and maintain effective working relationships with coworkers, public officials, and customers.

Physical Requirements

• Must be able to physically perform the basic life operational functions of reaching, lifting, grasping, talking, hearing, and repetitive motions.

• Must be able to perform sedentary work exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.

• Must possess the visual acuity to prepare and use figures and statistics, operate a computer terminal, read maps and written material extensively.

Desirable Education and Experience

• Graduation from high school

• Bilingual a plus

Flexible schedules available, Monday – Friday 8-5:30 pm 16 hours a week
