Kforce has a client in search of an Administrative Assistant in Morrisille, North Carolina (NC).Essential Functions:
Perform administrative duties with business responsibilities necessitating contact and exposure to confidential information requiring use of tact, diplomacy and discretion
Duties and responsibilities are moderately routine in nature, and require considerable judgment and initiative in resolving problems and making recommendations
Professionally represents the manager and/or department assigned
Answer the switchboard in a professional manner and passing calls to the appropriate person
Receive visitors, notifying staff of their arrival and issuing visitors/security passes as required
Filter all mail and emails; Dispersing and handle as appropriate
Responsible for all incoming/outgoing mail including but not limited to faxes, courier and food deliveries
Ensure that communications are accurately and timely distributed
Assist in the coordination and preparation of business meetings, luncheons, and dinners involving both internal and external clients as required
May be responsible for the submission of expense reports in a timely fashion
Schedule taxis and/or Uber for guests
General management of the reception area and telephone consoles
Inform facilities Manager of problems relating to reception, building maintenance or security
Coordinate interviews with candidates and hiring manager/team
Heavy calendar management in Outlook supporting Audits and staff functions
Prepare responses to correspondence containing routing inquiries
May track a variety of department and/or employee data and complete regularly scheduled reports by required due date
Establish and maintain effective working relationships with co-workers, managers and clients
Maintain demanding timelines
Work independently and manage time efficiently
Keep information organized and confidential
Perform other duties as required
High School diploma/GED with 2 years related experience; or equivalent combination of education, training and experience
Excellent verbal and written communication skills, multi-tasking, prioritization, customer service, and interpersonal skills
Strong computer skills, particularly with Microsoft Office and Outlook (email and calendar scheduling); Knowledge of CONCUR, Peoplesoft, Sharefile and Sales Force is helpful
