The Administrative assistant will support a team of 10 agents with basic real estate functions including but not limited to writing contracts, updating documents, pulling relevant property information and inputting information into OBAR MLS system. This individual will also assist with marketing compliance tasks and visit numerous company listings to do so. The role will consist of in office hours as well as virtual home office hours. The assistant role is an individual who is outgoing, draws energy from working with people, and is optimistic. They have a strong sense of urgency, but not at the expense of quality. In addition, he/she demonstrates on a daily basis the knowledge, attitudes, skills, and habits of a high achiever who is committed to putting clients first, doing the right thing, and seeking win-win agreements.
The Assistant must be adaptable to change and be solutions oriented. This individual must provide exceptional customer service.
Compensation:
Salary based on experience
Responsibilities:
General administrative assistance including inventory and ordering duties
Must be familiar with Paragon/ OBAR MLS, enough to enter listings with efficiency
Act as a liaison when needed between real estate agents, clients, attorneys, lender, and other vendors during the process of a real estate sale and effectively manage the administrative tasks involved in closing a sale
Follow timelines and follow up with individuals as needed to ensure all contingencies and deadlines are met
Create and maintain accurate and compliant files for all transactions working within zip forms and docusign software
Understand the contracts in order to summarize all important items, conditions, and dates
Communicate with the agent consistently throughout paperwork process
Strong social media and marketing skills with experience in Mail Chimp, Facebook, Instagram is a bonus
Visit property listings from Corolla to Manteo on a monthly basis to ensure marketing compliance
Qualifications:
Real Estate License a plus
Can handle difficult customers with grace
Must possess excellent written and oral grammar abilities
Can work from home or office
Reliable and dependable
Warm, engaging, inviting personality
Error-free in ability to multi-task
Is direct, yet helpful in dealing with customer concerns
Willing to travel a few times a month to check marketing compliance on company listings
Has experience in Real Estate, Transaction Coordination, Titles or Mortgages
