Job Description

Reporting to the Human Resources (HR) manager, the HR administrative assistant is responsible for providing HR and administrative support to the plant employees and leadership team, as well as promoting positive employee relations through the support of plant and team member administrative needs. The HR administrative assistant will engage in coordinating the staffing and onboarding process, supporting compliance with corporate and government requirements, leading the training administration processesand supporting the general administrative needs of the site.

Main Responsibilities:

  • You will coordinate the staffing activities for the Operations team by managing the contingent workforce and acting as HR consultant for the Talent Acquisition team.

  • Lead the hourly staffing and onboarding processes: Scheduling interviews, communicating with candidates prior to start dates, completing I-9s, conducting new-hire orientations, introducing HR policies / benefits for new hires, setting up workspaces, phone extensions and voicemail, and updating documentation.

  • Develop and actively manage the communication stream of key business and site objectives and initiatives to the site.

  • Manage office files and records, including confidential information and required compliance postings, in accordance with internal procedures.

  • Respond to routine questions on HR policies and procedures.

  • Assist site leadership with requests for data acquisition / analysis and other administrative services. Ensure data integrity for the site personnel.

  • Coordinate employee events / celebrations / activities / United Way campaign. Arrange meetings, travel, catering, plant tours. Maintain organizational charts, phone lists, email groups, employee picture boards, employee in / out boards, mail bins and communication boards.

  • Perform clerical, administrative and general office duties involving typing, record and file maintenance, document creation, mail distribution, UPS shipments, supply management and telephone reception.

  • Additional duties, as assigned.

Qualifications

  • High school diploma required. Associate’s degree in Human Resources or related field preferred.

  • 3-5 years experience in an administrative role with HR focus, preferably in a manufacturing environment.

  • High level of work capacity and ability to work at a fast pace. Demonstrated ability to manage multiple tasks and clients simultaneously.

  • Excellent verbal, written and presentation skills.

  • Basic knowledge of employment laws and HR procedures and practices.

  • Strong organization and time management skills.

  • Ability and passion to build relationships and work with employees at all levels of the organization.

  • Strength in listening to clients, understanding business concerns and taking action to solve problems.

  • Self-starter, ability to anticipate customers’ needs.
