EXECUTIVE ASSISTANT/ACCOUNTING
This position will be responsible for assisting in all aspects of accounting, including accounts payable, accounts receivable, collections, and payroll. In addition, they will provide support to company executives while also completing general office administrative tasks.
Accounts Payable-
⢠Receive and enter and invoices into system
⢠Prepare/distribute checks weekly
⢠Enter information for purchase orders and maintain purchase order records
⢠Maintain and file all invoices and supporting documentation
⢠Answer questions from employees and vendors regarding status of account and AP
⢠Assist in preparing reports, 1099s, and other documents as needed
⢠Reconciling accounts and transactions
⢠Additional duties as assigned
Accounts Receivable-
⢠Post customer payments into accounting system
⢠Retrieve daily banking and ACH reports
⢠Prepare and deliver weekly bank deposits
⢠Process credit card refunds
⢠Prepare/distribute monthly customer statements
⢠Contact customers for payment status and collections
⢠Investigate and solve account discrepancies
⢠Collection notifications and calls
⢠Additional duties as assigned
Payroll-
⢠Process and verify accuracy of bi-weekly payroll
⢠Enter payroll journal entries for each payroll
⢠Calculate final checks for separations
⢠Reconcile and maintain annual employee benefits statements
Customer service/ Sales-
⢠Processing payments by customers via phone
⢠Prepare invoices, shipping documents and confirmations
⢠Answer routine questions/ provide customer support
⢠Issue customer return authorizations, prepare return shipping, process credits or refunds
⢠Additional duties as assigned
Office Administration-
⢠Administrative support to company executives
⢠Organize meetings
⢠Maintain cleanliness of office and break area
⢠Inventory office supplies and maintain current stock
⢠Filing and maintaining documents
⢠Customer/vendor communications when needed
⢠Additional duties as assigned
QUALIFICATIONS
3+ yearsâ experience in an office environment as part of an accounting team, or equivalent combination of education and experience. Highly professional with strong communication skills. Ability to communicate with management, strong customer service, experience in dealing with confidential material and problem-solving skills. Extremely self-motived, proactive and capable of prioritizing workload. Willingness to learn and help where needed.
Must be proficient in Word and Excel, payroll experience a plus.
This is a full-time position. Typical days and hours of work are Monday through Friday, 7:30 a.m. to 4 p.m
