Self-motivated individual for Receptionist/Administrative Assistant to join our Leadership Team for our busy Real Estate offices in Corvallis and Albany.
JOB SUMMARY/PURPOSE
Provide receptionist and administrative related support. Work with a diverse group of internal and external customers at all levels of the organization. Organize and prioritize multiple requests efficiently.
CUSTOMER SERVICE DUTIES INCLUDE, BUT ARE NOT LIMITED TO
-Maintain a positive and friendly attitude. Provide timely service to brokers and clients. Help create a positive and pleasant work environment for all.
-Effectively meet the needs of walk-in clients and make them feel welcome.
-Effectively meet the needs of phone-in clients; manage a multi-line switchboard and supply requested information in a professional manner, or refer them to the appropriate source.
-Demonstrate proficient communication skills, both oral and written, when interacting with customers, employees, and external organizations. Communicate and listen effectively. Resolve problems and complaints in a positive manner.
-Provide secretarial support to the CEO and CFO. Demonstrate initiative and independent judgment; coordinate and schedule meetings, travel, correspondence, etc., as requested in a timely and efficient manner.
OTHER DUTIES INCLUDE, BUT ARE NOT LIMITED TO
-Create marketing materials, such as flyers and graphic promotions.
-Manage office mail, files, and supplies in an organized manner.
-Provide general assistance with copiers and various office equipment.
-Manage company website and other multimedia platforms.
-Accept and perform other work as assigned.
MINIMUM REQUIRED QUALIFICATIONS
-High school diploma or equivalent.
-Demonstrate excellent computer skills, including, but not limited to, proficient use of Microsoft Office products such as Word, Publisher, Outlook, Excel.
-Excellent interpersonal skills for communicating with a large variety of people, on the phone or in person.
-Great attitude, with a focus on patience and humor in the work place.
-Professional appearance and demeanor.
-Excellent attention to detail, spelling & grammar.
-Demonstrated typing speed of 50 WPM.
-Proficiency in standard office tasks such as making copies, scanning, faxing, using email, etc.
-Experience in Real Estate and/or Title Companies a plus.
