Primary Job Functions:
Maintain the Service Technicians daily schedules and dispatch the technicians as
service calls come in. Schedule return trips with customers when parts are
in. Maintain the on call schedule for service technicians. Maintain customer
database with current information. Clear and concise communications with
employees and company customers. Provide accounting with maintenance contract billing information. Prepare service invoices and timecards for processing.
â¢ Advanced customer service skills.
â¢ Ability to multi-task
â¢ Geographical knowledge of service area
â¢ Knowledge of industry is recommended but not required
â¢ Computer skills
â¢ High school diploma or general education degree (GED)
â¢ Two years related experience and/or training in customer service, dispatching or project management or equivalent combination of education and experience
â¢ Take incoming customer calls.
â¢ Schedule and coordinate all service calls as calls are received.
â¢ Create dispatch ticket for all service calls.
â¢ Respond to all messages left overnight.
â¢ Maintain the dispatch board / schedule.
â¢ Contact customers with a âParts Pendingâ status as parts are received for scheduling.
â¢ Follow up on all pending and recommended work with customer
â¢ Maintain the maintenance agreements, including billing, scheduling
â¢ Help Service Manager with marketing issues as directed.
â¢ Maintain on call schedule, to include 1st on call and standby technician
â¢ Maintain customer history files in database
â¢ Update service database from service ticket
â¢ Forward checks and payments to accounting.
â¢ Other duties as assigned
