Mennonite Village is a well-respected CCRC in Oregon's beautiful Mid-Willamette Valley that provides life-enriching services to people of all faiths and beliefs. We are currently seeking a Scheduling Coordinator for our Lydias House Memory Care to be responsible for planning, coordinating, and managing the staffing schedules. This position is set to work 30 hours per week Sunday-Thursday which includes four 6 hours day shifts and one 6 hour evening shift.

ESSENTIAL FUNCTIONS:

Assists in hiring process by: participating on the interview panel and may assist with checking references.

Coordinates with the LH Supervisor to schedule staff orientation.

Plans and coordinates staffing within approved staffing hours. Creates schedule in OnShift system, sending out all required notifications of open shifts and updating the system as needed. Ensures the schedule is consistent with State and Federal wage and hour regulations.

Assist with finding coverage for call ins and obtains relief staff. Makes sure updates are done in On Shift system.

Administers disciplinary actions for attendance issues.

Monitors employee scheduling problems. Develops solutions and reports to supervisor.

Assist in the training of staff on Matrix Care.

Prepares monthly absentee report and other reports as requested by supervisor.

Compares employee requests for time off and switching of shifts in the OnShift system to schedule.

Approves timecards in the Empower system for payroll processing.

Maintains strict confidentiality of personnel issues.

Manages absenteeism and employee performance issues with the support of the LH Supervisor and Administrator.

Creates Lydias House Newsletter.

Attends in-services and unit meetings. Along with appropriate out of facility educational sessions as directed.

Assembles the Marketing packets/brochures and ensures there is an adequate supply on hand for inquiries.

Regular attendance and punctuality is an essential function of the job.

Abide by the standards and procedures of the Mennonite Village Compliance and Privacy Program and Values and Expectations Statement.

Abides by the HIPAA policies and reports to a supervisor, breaches (or violations) of our HIPAA policies.

Immediately reports identified hazards or hazardous conditions to a supervisor.

Immediately reports adverse events and near misses to a supervisor.

Attends mandatory training on HIPPA and compliance annually.

QUALIFICATIONS:

Supportive of the Mennonite Village and Lydias House philosophy.

Possession of High School diploma or equivalent.

Prior experience working in a dementia care environment preferred.

Prior experience scheduling in a long-term care or 24/7 hour shift environment preferred.

Excellent organizational skills.

Ability to be flexible, patient, creative, willing to learn and be motivated to enhance the lives of the residents residing at Lydias House.

Ability to be firm and empathetic to staff. Ability to be objective and treat staff fairly and equitably.

Ability to communicate effectively verbally and in writing in English.

Ability to speak in public and present trainings at meetings.

Ability to make decisions independently.

Ability to work under time pressure and stress and maintain a professional demeanor.

Ability to maintain confidentiality of information at all times.

Ability to safely move frequently during the work day, including carrying, lifting, standing, sitting, bending, reaching, kneeling, straighten, also be able to travel reasonable distances.

Must be able to use a personal computer and programs such as OnShift, Empower and Microsoft Word.

Excellent interpersonal skills.

Ability to work with and communicate with the elderly.
