Bookkeeper/Office Administrator Job Description

Overview:

Our highly-regarded regional law practice (Huycke, O'Connor and Jarvis, LLP) is seeking an accomplished Bookkeeper/Office Administrator who will manage our financial accounting, while simultaneously supporting the administrative activities of our firm. The purpose of the Bookkeeper/Office Administrator role is to maintain impeccable and timely financial billing, collections and reporting while supporting certain administrative affairs of the firm, always in a confidential and professional manner. The Bookkeeper/Office Administrator will be tasked with exploiting reliable and sustainable processes that avoid energy-sapping bureaucracy, while maintaining minimum and reasonable business/administrative controls.

The Bookkeeper/Office Administrator will report to the company's Managing Partner, who will provide oversight and project/task prioritization. This position requires a person with strong initiative, who can work with considerable independence and yet maintain flexibility with regard to changing priorities. Responsibilities:

• Bookkeeping/Accounting - Complete daily, weekly, monthly, annual accounting tasks. Prepare and review financial statements and data. Cross-train back-up(s) for all accounting roles.

• Administrative Support - Complete assigned and delegated administrative tasks of the firm (answer phones, serve customers, assist partners/support staff, etc.).

• Best Practices - Improve/Formulate processes and policies in support of organizational goals. Adhere to rules and regulations. Maintain process manuals/desk documentation, etc.

• Human Resources - Complete delegated Human Resource task functions. Support elimination of "sole source" reliance on personnel with effective cross-training partnerships.

• Communication - Be an active listener that ensures effective communication between partners, support functions and externally-retained contract service providers (CPA, IT, etc.).

• Project Management - At the direction of the managing partner, complete various operational and/or administrative project tasks (i.e. insurance, office-wide engagements, etc.)

• Customer Service - Enthusiastically support customer service support initiatives.

Qualifications:

• Degree in business administration/accounting/finance; or equivalent education/experience.

• Translatable prior professional office administration experience.

• Knowledge and experience supporting organizational effectiveness and improvement.

• Knowledge of business control and management principles/practices.

• Knowledge of financial and accounting principles/practices:

• Experience with law practice time-keeping software and QuickBooks.

• Experience with Payroll Processing and related regulatory requirements.

• Knowledge of human resource principles/practices.

• Knowledge of project management principles/practices.

• Experience coordinating Information Technology functions/support.
