Who we are - Who we want to hire:

We operate some of Portland's most sought after and awarded event venues, Castaway Portland and Blockhouse with a new venue in Beaverton opening soon. Our businesses are growing, and the team has remained small and close knit. As we grow, we are in need of a sales and administrative assistant, primarily working with the Managing Director. Our ideal candidate is outgoing and kind, while providing exceptional customers service, tracks details and is highly organized, with warm and professional communication skills (written, verbal & in person). Time spent in the hospitality industry is preferred, but not required. More information regarding job purpose/duties are below:

Purpose:

The Sales and Administrative Assistant is responsible for providing organizational and operational support that will help conserve time of company manager/owners. This individual will being showing perspective customers our venues, and have an opportunity to participate in special assignments and projects which will enhance their career development and growth.

Duties:

Email correspondence with potential/booked clients, vendors and others. Includes Answering and directing inquires.

Venue Tours

Special projects as assigned by manger

Scheduling appointments and helping to maintain event calendars.

Answer phone calls and make phone calls

Social media marketing as needed

Some client meetings/sales meetings

Help maintain up-to-date records/files for events

Help with proposals and sales process

Maintain data base of clients and vendors

Help in post event wrap up reports/evaluation

Help maintain bar inventory

Helps with billing as needed

Physical work may be required, including stocking building inventory, sweeping, moving tables/chairs, changing light bulbs, etc. Although will not be the focus of the position.

Skills/Qualifications:

Positive attitude, resourceful nature.

Self-Motivated

Passion for events

Proven work history in office or similar environment. Hospitality experience is a bonus.

Demonstrated organizational skills

Excellent and professional communication skills both verbal and written.

Ability to work independently, multi task/manage multiple projects simultaneously and achieve deadlines.

Proficiency in Microsoft office (outlook, word, excel, powerpoint)

Some night and weekend work will be required. Most commonly Tuesday - Saturday.
