Douglas County Program Coordinator - Roseburg Office

Common Ground Mediation seeks a qualified individual for the position of Douglas County Program Manager. The Program Manager oversees and develops the mediation services in Douglas County. This position works with a team of skilled volunteers to provide mediation services. The incumbent is responsible to be able to work independently and in a team environment with the ability to communicate effectively both orally and in writing.

Purpose of the Position:

Provide leadership, motivation and support to staff and volunteers in the effective pursuit of Common Ground Mediation’s mission and objectives in Douglas County

Mission:

To encourage and facilitate the use of alternative dispute resolution methods in Coos and Douglas Counties.

Objectives:

Increase awareness of the benefits and availability of alternative dispute resolution services in Coos and Douglas Counties.

Training, information and other support are readily available to practitioners, programs, volunteers, and other community members when needed.

Direct services are available in all appropriate facets of the community.

Manage the day-to-day operations of the Program at the direction of the volunteer Board of Directors, and in accordance with the organization’s By-Laws, policies and procedure

Project a positive public image of Common Ground Mediation in Douglas County.

Manage volunteer mediation programs in Douglas County

Carry out administrative and accounting assignments that facilitates the ongoing operation and organization of the organization.

Seek opportunities to develop and expand alternative dispute resolution (ADR) in Coos County.

Reports to: Common Ground Mediation Board of Directors

Key Areas of Responsibility:

Volunteer Development: To develop, implement and supervise ongoing recruitment, training and retention programs which will attract the highest levels of community leadership, and will provide such volunteers with both the opportunities and motivation to make multi-year commitments to Common Ground Mediation.

Resource Development: To implement an annual fundraising campaign in Douglas County that will generate a maximum degree of financial support; and to assure proper accountability in reporting monies raised. Apply for grants in a timely fashion. Research for opportunities to fund Common Ground Mediation through grants, in-kind, fundraising etc.

Communications and Public Relations: Develop and nurture relationships to benefit the long-term health of the organization. To reinforce volunteer efforts through positive recognition and “thank you” activities. Provide a year-round local identity for Common Ground Mediation and cultivate year-round community support for Common Ground Mediation through contacts with local organizations, agencies, businesses, and community groups.

Systems Analysis and Research & Development: To provide direction to the Board of Directors by developing and maintaining an ongoing strategic plan; analyze operational systems; create innovative strategies for organizational growth and prosperity; research and develop new programs, systems, and practices.

Attend basic mediation training

Program development: Seek opportunities to develop programming / presence in Douglas County.

Administration and General Management: To work with the Coos County Program Manager to oversee all financial and operational functions of the organization within Board-approved policies and procedures: to manage and supervise the Common Ground Mediation volunteers, preparing and operating within budgets that reflect the lowest possible cost of doing business; to file and maintain all applicable government an/or other reports; and to keep the Board of Directors fully informed of the status of work within the organization and any issues or concerns which may affect Common Ground Mediation’s ability to fulfill its mission in Douglas County.

Job Type: Permanent, Up to 40 hrs/week (typically Monday-Friday, with occasional evenings and weekends), occasional travel may be necessary (mileage reimbursed per IRS guidelines)

Salary: $17.00-20.00/hr DOE

Working Environment: Office and community settings.

Physical Activities: The employee may be required to lift up to 25lbs.

Minimum Job Requirements:

Knowledge of local community and enthusiasm for Alternative Dispute Resolution (ADR)

Experience developing programs

Financial Management:

Monitors and prepares billings including but not limited to contracts and fees for Douglas County.

Works with Coos County Program Manager and bookkeeper to coordinate with monthly payroll service, federal and state payroll deposits, quarterly and annual reports and employee forms.

Monitors and pays Douglas County expenses.

Deposits funds in checking and savings accounts to maximize agency revenue for Douglas County.

Oversees Treasurer reconciliation of bank statements and tracks budgetary expenses for Douglas County with bookkeeper.

Works with Coos County Program Manger to prepare or supports preparation of Grant proposals in coordination with team members when applicable for joint submission with Coos County or individual for Douglas County.
