We are a new Montessori Inspired Lifestyle Memory Care Community. We are looking for a Business Office Manager who is interested in working in a service industry that puts great emphasis on a positive environment for all who enter our community! Teamwork and compassion are non-negotiable!

General Summary: Answer phones and greet visitors to the facility. Assist residents with directions and requests as necessary. Duties involve a high degree of complexity due to the nature of bookkeeping and all this entails. Duties are performed under direct supervision of the Administrator with established procedures and guidelines. Errors in accuracy, judgment, confidentiality and level of professionalism affect the smooth and efficient operation of the department, ultimately impacting management, resident and staff trusts levels. Responsible for the day-to-day activities in areas of financial business for Windsong at Eola Hills residents as assigned. This may include but not be limited to:

Job Functions

Assist with answering phones, directing messages, taking messages and delivering them and answering telephone questions.

Welcome visitors and be available to answer questions from residents or guests and direct them within the facility.

Be informed of schedules and groups for facility originating from within the facility or from outside sources.

To act as a back up security and safety representative, monitoring the front doors and the inner facility communication system. Should never leave the front desk unattended.

Computer input or computer generated memos, letters, etc.

To give tours to visitors as requested or necessary.

Maintain positive relationships and frequently interact with Windsong at Eola Hills residents and families. Serve as liaison between residents and their financial services and healthcare providers as well as Social Security.

Handle clerical duties, which include heavy filing, incoming phone calls and messages, outgoing mail processing, and correspondence. Frequently transport mail, packages and supplies between buildings and run occasional car errands.

Perform other office and administrative duties as assigned by Windsong at Eola Hills Administrator.

Conduct HR functions associated with hiring process including maintaining employee files, phone lists, etc.

Update daily timecard edits and reporting

Manage Office Supply Orders

Process all bookkeeping, accounts receivable and accounts payable pertaining to resident and Windsong at Eola Hills activities.

All payroll and reporting.

Prepare and execute Occupancy and Respite Agreements; collect, record and track rental deposits; calculate and collect rent and fees due.

Maintain positive relationships and frequently interact with Windsong at Eola Hills residents and families. Serve as liaison between residents and their financial services and healthcare providers as well as Social Security.

Process Social Security and pension payments, cash checks, and field questions from residents.

Review deceased member assets; facilitate paperwork and any claims due.

Prepare bank deposits as needed for checks received from Windsong at Eola Hills residents and activities.

Prepare reconciliation report of cash funds received from Windsong at Eola Hills residents, cash boxes, and activities; give to accounting for final tabulation and deposit/recording.

Skills:

Excellent interpersonal and problem solving skills. Strong oral and written communication skills.

In-depth knowledge of principles and practices of bookkeeping, accounts receivable, and accounts payable.

Ability to learn and master software program of facilities choosing.

Demonstrated computer skills with proficiency in Microsoft Word and Excel, ADP, QuickBooks.

Demonstrated proficiency in math and operating a 10 key/calculator.

Ability to assist with budget development as requested.

Ability to maintain cooperative working relationships with those contacted in the course of work activities.

Sensitivity in interactions with an aging population. Ability to cope with loss.

Demonstrated ability to understand and work under a variety of situations in a positive constructive manner.

Demonstrated ability to be organized, well prepared, set and meet deadlines, stay on task and avoid distractions.

A Desire and appreciation of working around Senior Citizens.

Ability to work in an organized, neat, and timely fashion.

The ability to multi-task and prioritize.

Ability to work alone or closely with others as a team.

To have an understanding of how Office duties influences marketing and operations.

Sufficient training, knowledge, education, and experience or some combination of, to allow for a high degree of performance and quality assurance.

To be able to handle multiple phones in an efficient, friendly manner.

The ability to give tours in a friendly, informative manner.

Flexibility to work any day on the calendar including weekends, holidays, and evening hours as necessary to best meet the needs of prospective and current residents.

Education and/or Experience:

High school diploma or equivalent required. Post secondary education preferred.

Demonstrated combination of experience and or training to perform accounting duties effectively and accurately

Two (2) years experience in field preferred

Valid Oregon drivers license

Continuing education as requested by the Administrator

Ability to obtain Status with Background Check Unit
