OfficeTeam has a great opportunity with one of our clients. This company is seeking an Executive Assistant who has experience supporting an executive team and VPs. OfficeTeam is looking for someone who has experience performing a wide variety of high-level administrative duties for the Executive Staff and working with employees at all levels of the organization and dealing with issues that are highly sensitive in nature. Below are some of the required experience to be considered for this position;

Specifically, the Executive Assistant will:

Manage schedules and calendars for Executives

Coordinate and arrange internal and external meetings for Executives and prepare materials for each meeting, ordering catering as needed

Arrange domestic and international travel

Prepare presentations, spreadsheets, correspondence and other documents

Process expense reports and invoices and order supplies

Receive, sort and prioritize incoming mail and file key documents routinely

Proficiency of Microsoft Office Software Suite particularly Word, Excel, PowerPoint and Outlook are required

Excellent verbal and written communication skills are essential to success in this position

To succeed as an Executive Assistant, you must have strong computer (Microsoft Word, Microsoft Excel, Microsoft PowerPoint, and Microsoft Access) and Internet research skills. Additionally, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors, are required. 3+ years of Executive Assistant experience is preferred.

Our busy client is seeking an experienced Project Coordinator who can manage a project from initiation to completion.

The successful candidate for this position will be able to utilize project data to make future projects more productive and cost-efficient. The Project Coordinator will be responsible for creating milestone schedules, drafting vendor delivery policies, coming up with accurate manpower estimates and preparing technical summary reports for management. We are seeking a detail-oriented individual that can ensure that each project is completed on time and at or under budget.

Duties might include:

Ensure that each crew has the tools it needs to meet project milestones

Create project schedules that include materials estimates and manpower needs to be submitted to management

Assist in documenting project phases and creating summary reports for company management

Work with field personnel to handle project issues as they arise

Ability to work independently with minimal managerial supervision

Demonstrated understanding of project management concepts
