We're a growing, well-established commercial property management company in the mid-Willamette Valley and we're seeking a licensed-in-Oregon broker, principal broker, property manager, or a non-licensed, experienced assistant to add to our team.
Our management portfolio includes Class A and B properties in downtown Salem, industrial properties, and land leases in Portland and other mid-valley areas.
Responsibilities for this position include ensuring the assigned properties are appropriately maintained in a clean, safe and efficient manner and that every tenant inquiry is addressed quickly and professionally. Scheduled, onsite inspections of properties and tenant interaction is a key factor to success. Incidents, significant repairs and leasing related information/activity is to be reported to the managing licensee.
Essential Functions you’ll be responsible for include:
ADMINISTRATIVE AND FINANCIAL
Ensure 100% of the certificates of insurance are accurate and in compliance
Ensure contract and lease administration files are accurate and up-to-date
Complete administrative paperwork related to leasing and processing tenants in & out of the building
Show, if licensed, office studios, respond promptly and track leasing inquiries
Code accounts payable (AP) invoices and track accounts receivables (AR)
Participate in completion of annual reconciliation of operating expenses
Participate in completion of annual budgeting
Assistance with monthly ownership reporting process, including executive summary of operations for each property
CLIENT/TENANT SERVICES/DAY-TO-DAY OPERATIONS
Ensure all tenant communications are accurate, concise and of the highest quality
Serve as a liaison between tenants and vendors
Document, track and follow up on day-to-day work orders
Assist and oversee vendor projects as directed
Keep excellent contractor and vendor relations; assist in seeking new qualified vendors
Assist with one-off and other projects under the guidance of the PM or Broker
Coordinate tenants moving and overseeing the process from start to security deposit refund
Order & track building supplies and keep inventory
Coordinate and track annual maintenance for the property
Collect, review and create service contracts for annual and one-off property services
Create RFPs for competitive pricing
Other duties as may be directed by supervisor, PM or Broker
Stand in for Real Estate Manager from time to time as may be directed
Communicate with client(s) as directed by Real Estate Manager
EDUCATION AND EXPERIENCE
High school diploma required
BS/BA strongly, preferred
Minimum three (3) years’ strong administrative experience
Minimum three (3) years strong customer service experience
Minimum two (3) years’ experience in commercial or residential property management
Leasing experience preferred
KNOWLEDGE, SKILLS, AND ABILITIES
Strong customer service skills
Self-motivated, proactive, highly-organized and ability to work independently.
Ability to work with fast pace team with large volume of clients/tenants.
Strong written and verbal communication skills.
Ability to effectively present information in one-on-one and small group situations to customers, clients and other employees of the organization.
Ability to work, on occasion, flexible hours and respond to on-call/after-hours emergencies
Proficient knowledge of Microsoft Word, Excel and Outlook
Proficiency in AppFolio and/or other PM standard software strongly preferred
Driver’s License and clean driving record required
