Receptionist/Office Manager for CPA practice (Lansdale)

CPA practice is hiring very competent administrator to handle the phone but the position also includes being the operations person of the office, ensuring the smooth, efficient & timely flow of work in and out of the practice.

Examples of duties include:

Answering phone & greeting clients in person

Handle phone inquiries that have to do with making appointments with owners, copies of previous years returns etc.

Calling clients for information needed to prepare their taxes

Creating new files & filing

Assembly and mailing of tax returns

Scanning

Collection calls to handle clients whose payments are overdue

Tracking of all work in the office, when it came in, when it went out to the client, who is working on it etc.

Ensure all work is billed to the client, as soon as it is done & tracking when clients have paid their bills.

Tracking all new clients & where they come from

Ensure all those referring new clients receive acknowledgements

Personal Assistant to Owners “ e.g. helping them to maintain their calendars, ensuring that they are not constantly interrupted, that their phone messages are accurate and that they have what they need for daily meetings

Assist other professional staff with their administrative tasks, contacting clients on their behalf etc.

Marketing skills would be helpful e.g. generating new ideas to encourage clients to refer; as well ideas for newsletters to keep the practice in front of clients etc.

Some data input/light bookkeeping.

Responsible for ordering supplies, keeping inventory

Responsible for the office being aesthetically pleasing e.g. ensuring the office is clean, clutter free, pictures are hanging straight, plants are tended to etc

Qualities:

1. Ability to multi-task is key “ this position is one where many tasks will be assigned by different team members throughout the day, so must have the ability to handle that kind of environment, as well as the ability to prioritize and know what is most important to get done on an immediate basis.

2. Systems orientated “ natural ability to put order into the work environment, create systems that help the flow of work throughout the office that result in saving other team members time, so they can get more client work done.

3. Will help create a procedures manual for the position “ to include how each of the tasks are carried out

4. Personal presentation must be very professional and polished as this person is the face of the office and will meet and greet clients.

5. Must have excellent communication skills “ to deal with clients queries on a daily basis, both by phone and in person. Great communication also required to work with other team members who will need admin support in the day to day operations

6. Must have a can-do attitude and be a team player who is willing and able to perform the multitude of clerical duties listed above “ with the result that the rest of the team can be, to a large degree, undisturbed, so they can focus on client work.
