Job Summary Must Haves - 3+ years as an Executive Assistant - Experience with scheduling - Comfortable on a computer Under the supervision of a Vice-President or Medical Group Administrator, performs advanced, diversified and confidential secretarial duties requiring a high degree of technical and communications/interpersonal skills and the ability to exercise a high degree of independent judgement and discretion. Coordinates, schedules and takes minutes for Board- and senior management-level meetings/committees. Regularly communicates/interacts with WellSpan Health and community leaders (e.g., Board members, Medical Staff members, community organizations, executives). Administers/coordinates programs, projects, and/or processes as assigned. Duties and Responsibilities: The following are essential job accountabilities: - Types memorandums, policies, committee minutes, manuals, letters, forms, procedures, and other general typing as directed, initiating other documents and correspondence as appropriate. - Composes letters and memorandum from dictation, verbal direction or from knowledge of appropriate policy or procedures. - Schedules supervisor's appointments; maintains and updates supervisor's daily calendar. - Schedules, coordinates and/or arranges meetings, appointments and/or facilities. Attends meetings and records minutes, as required. - Answers telephones, routes callers, takes messages and provides routine information to callers. - Collects information needed by supervisor for conferences and reports. - Compiles data for and prepares regularly scheduled or special reports, analyses and statements. - Takes and transcribes dictation of a highly confidential nature. - Maintains confidential files. - Responds to routine inquiries as desired by administration. Assists medical staff as necessary. - Enters and/or retrieves data from established computer files using knowledge of various computer software applications. - Opens and routes incoming mail; distributes correspondence and other material to staff.
