JOB SUMMARY

Under supervision of the Director of Operations, the Admissions Coordinator is responsible for assisting customers with animal relinquishment, performing intake exams for incoming animals, and creating and maintaining records pertaining to newly admitted animals.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Interacts with customers bringing stray animals and owner surrendered animals to the shelter in a friendly and professional manner.

Rapidly gathers and processes customer and animal information.

Provides compassionate and non-judgmental advice to people surrendering their pet.

Handles and oversees incoming calls for animal admissions and ensures admissions messages are answered in a timely manner.

Coordinates and processes all paperwork and data entry for animal admissions, including contracts, person info, animal description and photos, weight, breed, medical history, behavior history, and more

Processes all relevant fees and balances daily receipts.

Maintains files containing admissions information and records for all animals admitted to the shelter

Handles domestic animals with appropriate care and caution.

Performs general physical exam on intake and administers vaccines, dewormers, flea and tick preventative as needed.

Demonstrates sound decision-making based on policies, procedures, and principles of HES.

Coordinates with Animal Care staff to find appropriate areas for animal holding.

Coordinates with Medical staff to address any medical issues animals may have upon admission.Multitasks efficiently and effectively.

Ensures compliance with Animal Admissions rules and regulations.

Maintains supplies and inventory for the admissions area.

Maintains a tidy and sanitary receiving area and cleans on a daily basis, including floors, public spaces, and animal enclosures.

Maintains a pleasant, patient, and professional attitude toward coworkers and the public, even in high stress situations.

Supports the mission of the Humane Educational Society on and off the job.

Assists Director of Operations in other departmental functions and projects as needed.

Assists with adoptions as needed.

ABILITIES

Ability to gather necessary information and assess needs of general public for their animal situation.

Ability to communicate effectively with the public and to a variety of audiences using a non-judgmental approach.

Knowledge of domestic animal handling, health, and care.

Ability to coordinate efficiently and quickly with multiple departments.

Ability to use Microsoft OS, Word, Excel, email and shelter data management software efficiently.

Ability to keep accurate and detailed records.

Ability to communicate effectively verbally and in writing.

Ability to adhere to disease management and safety protocols.

Ability to work under stress during crisis or high pressure situations.

Ability to work varied hours/days, including nights, weekends, and holidays, as needed.

WORK ENVIRONMENT

Front office setting for clerical aspects of the position with animal receiving rooms for animal exams and temporary holding. Will also be expected to move animals throughout the shelter, including main kennel areas and animal quarantine areas

While performing the duties of this position, work is performed constantly in an animal shelter that operates seven days per week with exposure to animals, including some with questionable health and temperament concerns, moderate noise levels, zoonotic diseases, and cleaning agents.

Physical demands include but are not limited to lifting of up to 100 pounds, bending, walking, reaching, sitting, standing, grasping and kneeling, handling syringes, needles, and animal medications

EDUCATION, EXPERIENCE, and TRAINING

High school diploma or general education degree (GED) required, college background preferred

Minimum 2 years of customer service

Minimum 1 year of animal care or protection experience

All candidates must pass a background check and drug test to be considered for employment
