Job Summary: The Volunteer Coordinator is responsible for overall management of volunteer services to support La Posada Providencia, e.g. local shelter transportation; ESL and life- skills tutoring; child education enrichment; and shelter building and grounds maintenance. The Volunteer Coordinator will enlarge La Posada Providencias volunteer base to expand needed services for its homeless immigrant, asylees, and asylum seeker clients. This person will recruit, screen, and schedule volunteers to perform tasks as needed, including scheduling and completing presentations to community groups and organizations. The Volunteer Coordinator will be driven by La Posadas mission statement in executing all duties and responsibilities and incorporate the mission statement in presentations, talks etc. This position works closely with the staff and reports directly to the Executive Director.

The general assistant provides high levels of administrative support to each department, in particular for their respective directors, and the executive director (E.D.) This position is responsible for clerical, project-based, and receptionist work. Integral to the position of general assistant is effective and professional communication of the organizations mission and values when interacting personally with clients, donors and volunteers and when using other forms of communications with the outside community; e.g. telephone, e-mail, etc.

Duties and Responsibilities:

1. Develop and maintain a recruitment plan that promotes the mission and ministry of La Posada Providencia and which addresses service delivery gaps and growth objectives as approved by the Executive Director, and the Board of Directors.

2. Assist in the recruiting, screening, interviewing and scheduling of new volunteers.

3. Coordinate volunteer groups visits - including church and high school /college groups.

4. Oversee volunteer orientation and placement to insure satisfactory assignments; meet monthly with each volunteer and review with staff whom volunteers are assisting to assure needs are met; quickly address any issues that may arise.

5. Prepare and distribute volunteer assignment documentation.

6. Maintain all necessary volunteer files and documentation including volunteer applications, timesheets, ESL tutoring timesheet s, and mileages heels (if applicable) for every volunteer.

7. Complete volunteer work timesheets weekly; maintain the volunteer programs database up to date.

8. Implement recruitment objectives through community outreach and public awareness activities, including: attending volunteer fairs, scheduling and conducting tours of La Posada, and giving presentations to school/college groups, churches, and other social clubs. Report activities and outcomes on a monthly basis to the Executive Director.

9. The Volunteer Coordinator will be involved with on-site group presentations and assisting with group visits resulting from college and university spring breaks as well as from high school summer visits.

10. Update and maintain a Volunteer Services Manual to include all policies, operating processes, applicable documentation requirements and safety instructions.

11. Oversee and manage the recognition and appreciation of volunteers (the Volunteer Appreciation Program).

12. Meet with the Executive Director to regularly appraise volunteer needs and attend staff meetings.

13. Coordinate volunteer needs for special events as designated; e.g. annual brunch gala, other shelter fundraisers and assist with Rotary fundraising support.

14. Monitor the student internship program and act as task supervisor overseeing the students day-to-day activities. Report activities and outcomes to the Executive Director.

15. Maintain a detailed documentation of visitors. Take pictures and gather quotes from visitors and volunteers to be used for La Posada s social media posts, weekly newsletter and other publications.

16. Work in collaboration with the Development staff to write and post the weekly eNewsletter, Tuesdays in Texas.

17. Participation in La Posadas Volunteer Committee; assist the committee chair with preparing material for meetings.

18. Serves as volunteer representative for the Advancement and various fundraising committees and attends respective meetings.

19. Welcoming visitors, volunteers, clients, etc.

20. Answering and forwarding calls to respective staff and taking messages when needed.

21. Receiving & sorting correspondence, packages, and donations; ensures delivery to appropriate staff.

22. Providing receipts for on-site donations, including assisting with completion of the form(s).

23. Making copies (and / or scanning) documents, correspondence, attachments, etc.

24. Updating call log spreadsheet.

25. Contacting vendors (Barcom, VTX, AT&T, etc.), in the case of technical issues.

26. Ordering groceries using HEB Curbside, on Tuesday and Friday.

27. Other duties may be assigned.

Position Qualifications:

l. Strong written and verbal communication skills and ability to communicate effectively.

2. Demonstrated organizational and motivational skills.

3. Must be able to work independently as well as in a team environment.

4. Proactive, good-natured, flexible and collaborative; adapt easily to change.

5. Excellent time-management, organizational and interpersonal skills, with a proven ability to manage multiple projects and changing priorities.

6. Ability to work under pressure and meet deadlines.

7. Bachelors degree or equivalent combination of education and work experience.

8. Minimum of one years experience in a not-for-profit setting with demonstrated knowledge and techniques related to managing a volunteer program.

9. General office skills (copying, collating, faxing, filing, and organizing) are essential

10. Computer skills required. Knowledge of MS Office, e.g. Word, Excel, and Power Point.

11. Valid Drivers License with a clear driving record, vehicle and appropriate insurance.

12. Bilingual (English-Spanish) proficiency is necessary.

13. Must possess a valid Drivers License with a clean driving record and appropriate insurance.

14. Must have the ability to drive shelter vehicle to various locations throughout the Rio Grande Valley (occasionally as many as 50 miles); map reading skills a plus.

15. Ability to listen; and willingness to learn essential.
