The Executive Administrative Assistant will perform highly confidential and responsible administrative support activities for the CEO and Superintendent and will manage the Central Office facility. This position maintains a well-organized Central Office, will be resourceful and communicate effectively at all levels internally and externally.

Essential Functions:

Serves as the first point of contact at the front desk for visitors at central office.

Answer and route central office calls to appropriate parties or forward messages.

Serve as primary contact for certain vendors. Manage vendor projects.

Ensure confidentiality and security of information.

Apply knowledge of policies and procedures and regulations in making decisions, solving problems, and proofreading information.

Perform clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings on behalf of the CEO and Superintendent.

Follow general accounting procedures; complete credit card reconciliations

Ensure any building maintenance issues are addressed and resolved (plumbing, fire inspections, etc.)

Research vendors and obtain bids for potential projects

Collect, prepare, and send board meeting packets. Obtain signatures for board meeting minutes and resolution. Maintain board files.

Provide logistical support for board meetings, onsite trainings, and other events, including setup and takedown.

Manage incoming and outgoing mail/deliveries and communications for CEO and Superintendent.

Arrange and schedule travel arrangements for CEO and Superintendent.

Ensure timely updates and communication of relevant events on primary website.

Assist with special projects and other duties as assigned.

Requirements:

High school diploma or equivalent; Bachelor’s degree preferred

Minimum three (3) years’ job-related administrative experience preferred.

Strong technology skills. Especially in Excel, Outlook, Word, Power Point, and Teams.

Advanced knowledge of Adobe

High level of interpersonal skills.

Experience in a public school environment preferred.

Attention to detail in composing, typing, and proofreading materials.

Establishing priorities and meeting deadlines.

Strong organizational and project management skills.

Experience with supply management.

Must have satisfactory outcome of fingerprinting check prior to starting employment. Non-refundable fee paid by employee.
