TITLE:
Administrative Assistant / Accounting
REQUIREMENTS:
Work 45 hours or more per week including weekends if needed.
Keep desk clean!
Answer phones at all time during working hours and after hours if needed
Be proficient in QuickBooks
Know Microsoft Office – Excel, Outlook, Word, etc
Must be a team player, be able to work independently, and take direction from others.
NO PERSONAL TEXTING, FACEBOOKING, OR EMAILS DURING OFFICE HOURS EXCEPT FOR EMERGENCIES

JOB RESPONSIBILITIES: For Administrative Work
Run errands (post office, title company or any other errands needed)
Open Mail daily
Daily filing and scanning
Set up contract labor files for Worker Comp., I-9s, and W-9’s
Maintain insurance on all new construction and current insurance policies
Set up and maintain new files for homes and/or vendors
Purchase and maintain an inventory of office supplies
Prepare invoices when necessary
Prepare contracts and negotiate revisions, changes, and additions to contractual agreements with architects, consultants, clients, suppliers, and subcontractors.
JOB RESPONSIBILITIES: For Accounting Work
Weekly preparation of the Accounts Payable Report and pay accounts as instructed
Prepare weekly draw spreadsheets for houses for payment
Make deposits
Prepare contract labor payments weekly
Prepare payroll weekly
Download monthly credit card statements
Pay monthly, quarterly, and annual payroll taxes (940, 941, SUTA, & FUTA)
Prepare quarterly and annual payroll tax forms
Prepare Workman’s Compensation Report – Quarterly and Annually
Monthly bank reconciliation and financial reports
