I am the president of a busy & growing residential remodeling company, and my business has come to the point where I need to focus more of my attention on driving that growth, less time on the daily office tasks. However, I believe that proper administration and organization is key to a successful business. Therefore, I am seeking candidate to fill the role of office/executive assistant, who is willing to learn the business, including design software and project management/estimating/scheduling programs for the building industry. This will be an evolving position, beginning as an internship or PT paid (depending on experience) with specific duties to include:
Placing and receiving calls from clients, taking messages, answering questions
Monitoring, sorting, and in some cases, responding to email communications
Improving and maintaining filing system
Managing my work and personal calendar, and scheduling appointments with clients/others
Following up on outstanding requirements/requests related to projects or general business operations
Preparing emails, letters, and other correspondence; mailing and shipping
Sorting and organizing photos and other imagery, and managing our social media
Generating and submitting invoices to clients for payment; entering bills and preparing check for payment of expenses; other accounting/bookkeeping as required
Creating, modifying and editing plans, elevations, and construction documents using simplified, user-friendly software programs.
Handling personal tasks and/or arranging personal or business travel
Assist at client meetings, taking measurements in the field, etc.
The best candidate for this position will have the following qualifications:
Proficiency in MS Office Suite, including Outlook mail and calendar
Punctual, reliable and focused
Detail-oriented and able to manage a large number of tasks simultaneously
A good listener that can manage large volumes of information and verbal instructions presented rapidly
Pleasant speaking voice and ability to communicate with proper grammar, pronunciation and efficiency
Polite, well-mannered and able to maintain composure and a professional demeanor at all times
Ability to properly draft and format written communications, with proper spelling, structure and punctuation
Neat, well-groomed and properly attired for a business setting (semi-casual)
Proficiency in multiple social media platforms (FB, Instagram, LinkedIn, Twitter)
Efficient and effective research capabilities, either regarding a particular subject or to explore various options available to me or the company with regard to a course of action
Candidates should note that I am fair and polite, but can often be demanding in my expectations. My minimum standard is excellence, and I expect the same from my employees. I can be blunt at times, and while I want a candidate who can think and work independently, I may sometimes simply state how I want something done. At the same time, I also need an assistant that can stand their ground and tell me what I need to hear, and/or what I am not seeing. That said, candidate should be accustomed to working with someone with a strong personality.
