Summary/ObjectiveÂ

The MHE Assistant Property Manager is responsible for the overall management of the property to ensure that income is maximized, expenses minimized ad value preserved and increased; to achieve goals, objectives, mission statement and policies of the partners and company; to provide professional, ethical management and service to residents. The Assistant Property Manager reports to the Property Manager for assignment and performance review, with reporting duties for sales marketing and transactions to the Regional Sales Manager.

Essential Functions

1. Directly assist the Property Manager (PM) in the day-to-day operation of the property. Coordinate with the Office Assistant in a cohesive manner.

2. Greet and assist residents, prospective residents and visitors promptly and courteously. Answer telephone promptly and provide courteous assistance to callers; schedule appointments for prospects. Maintain office coverage.

3. Serve as the second line of communication when interacting with unsatisfied residents. Thoroughly document their complaint, the response, any follow-up needed, and communicate this information to the Property Manager.

4. Provide all residents, prospective residents and visitors with accurate information that pertains to the community. Keep all information up-to-date and maintain a file for historical information.

5. Market and show rental homes following proper show procedures. Follow-up on all inquiries through telephone and written correspondence.

6. Accept application fees, reservation deposits, security deposits, and rental payments ensuring all record keeping procedures are followed properly and carefully.

7. Prepare leases legibly and accurately at least 24 hours prior to scheduled move-in. Review leases and resident information thoroughly with approved applicants prior to move-in.

8. Maintain satisfactory ratios in relation to telephone to visit and show to lease.

9. Keep the move-in and move-out calendars updated. Accurately document scheduled move-in, move-out, and notices to vacate in Rent Manager.

10. Confirm all leases and corresponding paperwork are completed and input into Rent Manager software accurately and on a timely basis.

11. Ensure that all rents and late fees/check charges are collected, posted and deposited in a timely manner.

12. Update ADP Timecard daily, approving Timecard every two weeks by 3:00 PM (Friday), and submitting mileage logs to the PM on the same schedule.

13. Follow-up with Maintenance Department and vendors on outstanding work orders, prepare notice to the resident of any incomplete repair work remaining from quarterly inspections. Complete move-in and move-out checklist reports detailing all rental home defects and/or conditions.

14. Coordinate daily with the PM and Maintenance Department to review turnover and home availability dates.

15. Continually monitor, document, and analyze traffic logs, conversion ratios, budget guidelines, marketing data, etc., to be able to give up-to-date and proper information when requested by others.

16. Attend training and office staff meetings as required.

17. Present self in a neat, clean and professional manner at all times throughout the workday and/or whenever present in the community.

18. Ensure that correspondence and office conduct is professional and correct atmosphere and appearance of the office is maintained.

19. Maintain office supplies and forms. Organize desk, office, and keys before closing daily. Follow opening and closing procedures carefully.

20. Strive to meet company, department and individual goals. Interact with co-workers in a courteous and professional manner. Be a team player!

21. Become familiar with and follow Company Policies. Become familiar with and follow Fair Housing Laws and Practices and the North Carolina Residential Landlord and Tenant Law. Become familiar with and follow property specific policies and procedures, including MHE Policies.

22. Ensure front and rear photos of each home in the community are photographed and cataloged in Rent Manager.

23. Represent BHF in court regarding tenant proceedings.

24. Conduct and thoroughly document all rental home quarterly inspections.

25. Respond to all emergency situations on the property (daily, nights, weekends, or holidays) when the PM is otherwise unavailable.

26. Performing weekly property inspections (including individual lot inspections)

27. Performing Move-In and Move-Out Inspections Quarterly Inspections

28. Issue Service Orders requested by tenants (or as a result of inspections) and assign these Service Orders to staff/vendors and ensure resolution.

29. Assist Office Assistant with collections (as needed)

30. Market vacant lots to local retailers

Sales

31. Responsible for the home sales and home marketing effort at the property.

32. Show homes to existing/potential customers and assists Regional Sales Manager and Property Manager in closing home sales.

33. Establishes, develops and maintains business relationships with current customers and prospective customers through daily/weekly/monthly follow up in writing, in person, and on the telephone.

34. Makes telephone calls, sends email correspondence and schedules visits with existing and prospective customers.

35. Researches sources for developing prospective customers. Assists Regional Sales Manager and Property Manager in preparing written sales contracts and/ or quotations for current and prospective customers.

36. Prepares and transmits follow up documentation for sales accounting.

Supervisory Responsibility

This position has no supervisory responsibilities.

Position Type and Expected Hours of Work

This is a full-time position; typical work hours and days are Monday through Friday, 8:30 a.m. to 5 p.m.

Travel/ Driving

No travel is expected for this position. Need to utilize personal transportation to inspect community property and surrounding neighborhood, make trips to the bank, suppliers, vendors, and other company communities (as needed).

Required Education and Experience

High school diploma or equivalent and professional knowledge of business discipline are required.

Must possess sales license from DHCD(VA) or ability to obtain required license

Achieve Fair Housing certification prior to interaction with prospects or residents.

Preferred Education and Experience

College degree preferred but not required
