Job Description

DRUCKER + FALK

Primary Responsibilities
The primary role of the Assistant Director of Multifamily Management in the Residential ManagementDepartment of Drucker + Falk is to assist the Director to design, approve and implement themanagement plans for all of the regional apartment communities as they are developed bothinternally and externally which will:

Establish and maintain “Collected Occupancy” standards at the highest level achievable andassure that a maximum level of customer service to residents is provided.
Promote “excellence” in residential property team management relations.
Assure Property Management team maximizes “collected” occupancy through the minimizationof delinquent rent, vacancy, and rental incentives.
Oversee the training programs for Property Management and motivate staff.
Develop and approve a team marketing plan in conjunction with the RPM’s to maximize the“Gross Potential” by utilizing the plan for rent increases.
Review NOI on all properties to assure effective expense control and operating costs.
Design and develop systems to maximize cash flow for the properties.
Encourage and direct the management team to pursue “excellence” with the physical
appearance of each property.
Monitor fuel and utility consumption to assure budgets are maintained.
Oversee and establish long term capital improvement programs for all properties with theMaintenance Coordinators and RPM’s.
Optimize properties for future refinance or sale.
Understand and assure that all federal, state, and local property standards are met.
Performs other duties as assigned.

In addition, the Assistant Director of Multifamily Management will participate in the establishmentand implementation of the goals and objectives for all properties and the department through:

Participation in preparation of department/property budgets.
Reviewing the department/property financial statements.
Reviewing and monitoring the staffing levels of the department/properties.

Communicating expectations and motivation of staff.
Recommending policies and procedures.

Reporting Responsibilities
The Assistant Director of Multifamily Management reports directly to the Director of MultifamilyManagement.

The following persons report indirectly to the Assistant Director of Multifamily Management:

Regional Property Managers
Maintenance Coordinators
Division Secretaries/Administrative Assistants

Planning
A. Supervise preparation of annual property budgets.
B. Supervise preparation of Capital Improvement projects.
C. Communicate expectations of owners to Property Management team.
D. Recommend policies and procedures to the Director of Multifamily Management.
E. Participate in preparing the department budget as necessary.
F. Develop take-over or New Construction opening strategies with the help of RPM’s and
G. Property Management Coordinators.
H. Map out strategy for property/account acquisition.

Organizing

A. Frequently visit all properties with the RPM’s within jurisdiction to determine needs for
motivation and training and discuss with personnel operation of property.
B. Review mail, outside correspondence and inter-company correspondence upon request.
C. Recommend property manager’s/community manager’s property assignments and site-officedevelopment to Regional Property Managers.
D. Act as liaison between Regional Property Managers and owners as necessary.
E. Oversee all Capital Project/Building Improvement Processes with the help of MaintenanceCoordinators and RPM’s.
F. Direct and develop Regional Property Managers to effectively manage departmental teams.

Staffing

A. Make staffing decisions regarding filling of subordinate positions.
B. Provide direct training and supervision of Regional Property Managers and indirectly providethe same to Property Managers, Community Managers and support staff.
C. Review and evaluate all property staff positions with the RPM.

Direction

A. Assist with Departmental Management meetings as necessary to review policies and procedures,discuss goals and objectives, staffing, review reports, and problem solving.
B. Review and approve monthly property rent increase strategies with the RPM’s.
C. Authorize expenditures up to the established limit.
D. Participate in executive committee meetings to discuss organizational direction and goals.
E. Manage, direct and implement multiple projects.


Control

A. Review Weekly Rental Activity Reports, Vacancy Status Reports, Vacate Notice Listings,Collection Status, and division summaries.
B. Review monthly financial statements and statement analysis.
C. Review quarterly market surveys to determine if rent schedules are in line with market.
D. Review and approve, when necessary, all recommended advertising on a periodic basis.
E. Review status of property conference reports (owners meeting notes, property inspections)generated by the President/Owner, etc.
F. Set-up and conduct regular meetings with all clients assigned as necessary.
G. Exercise indirect supervision over the Departmental Management staff.
H. Monitor the operations of the rent collection system to include delinquency control.
I. Review monthly department financial statements.


Physical Effort

A. Will use near vision at 20 inches or less to far vision of 20 feet or more; as well as depthperception to judge distance and space relationships.

B. Position requires exerting up to 10 pounds of force occasionally and/or negligible amount offorce frequently or constantly to lift, carry, push, pull or otherwise move objects including thehuman body. Work may involve sitting for extended periods of time.
C. Requires walking through buildings and exterior grounds during property inspections andaudits on a regular basis.
D. There is a repetitive motion of wrists, hands and fingers to operate computer and keyboard aswell as telephone.
E. Will involve expressing or exchanging ideas by means of the spoken word. These activities inwhich workers must convey detailed or important spoken instructions to others accurately andquickly.
F. Position will spend 50 percent of time in an office environment and 50 percent on the
properties.
G. May be exposed frequently to temperature extremes on a seasonal basis.
H. Travel including overnight and extended travel is required.

Education and/or Experience
Education: Bachelor’s degree or job experience may substitute for degree
Certifications Preferred: ARM, RAM, CAM, CPM, CAPS, NAHP, HCCP

Experience
Knowledge of apartment property management experiences a must including a minimum of seven (7)years related industry experience of which at minimum of three years were in multi-site (RPM) roleor equivalent.
