The CMX Cinemas' brands has expanded their high-quality entertainment venues into the U.S. This expansion includes many professional opportunities to grow in the hospitality industry with a world-renowned leader of theatres.
The Administrative Assistant will be responsible for performing administrative activities associated with supporting the Vice President of Operations, Corporate Executive Chef, Regional Directors and General Managers located across the country.
Key Responsibilities Include:
- Relieve management of administrative detail on all projects
- Review, submit & process multiple monthly expense reports
- Screen and direct incoming calls & general emails; relay messages to appropriate recipients or respond as necessary
- Book & manage travel arrangements including last-minute changes & communications
- Schedule or arrange appointments/meetings
- Handle location inventory fulfillment & work with purchasing lead at home office to maintain inventory & anticipate future needs
- Oversee the ordering and maintenance of office supplies
- Set up and maintain filing system (predominantly digital)
- Create and maintain a variety of spreadsheets & reports for, but not limited to theatre attendance, competitor movies and showtimes, competitor pricing, daily sales reporting, travel, ticket presales, inventories, manager schedules, and additional reports as requested
- Work with administrative staff at the home office to maintain appropriate contact lists & manager contact information for all locations
- Review upcoming film schedules via our website to ensure proper showtimes, pricing, and on-sale dates are listed as needed
- Work daily with multiple management contacts across all locations to assist with varying needs
- Process monthly invoices & allocate charges/work with accounting on any AR/AP issues
- Work with Website team on projects as assigned
- Other duties as assigned
Minimum Qualifications
- Must have the ability to multi-task while maintaining strong attention to detail
- Must be self-motivated & able to work independently
- Must be flexible to last-minute changes/directions in a fast-paced environment, occasionally during non-work hours
- Must be a quick learner and able to anticipate situations and management needs
- Ability to learn nuances of each location/market and anticipate their needs over time
- Strong organizational, prioritization skills
- Strong communication skills
- Creative thinking; ability to offer up solutions as opportunities arise
- Ability to handle sensitive and confidential information
Technical Skills Required
- Microsoft Outlook (both email and calendar)
- Microsoft Office Suite specifically: Microsoft Excel including large-format documents with multiple formulas
- Web/search engine proficiency
- General use of office equipment such as scanning, faxing, phone (transferring calls, sending to voicemail, etc)
