JOB TITLE: Part-time Site Manager Department: Wakeland Manor HOA Location: Stephens City, VA Classification: Management Agent Employee

Hours: Approximately five (5) hours per shift - Monday through Friday

Relationship: Reports to Community Manager

Scope of Work: Assists the Community Manager in the day-to-day management of the community, to include but not limited to the following:

ESSENTIAL DUTIES AND RESPONSIBILITIES:

The Part-time Site Manager will be responsible for the successful execution of following job functions:

• Primary initial contact for incoming calls and visitors to the management office

• Provide community-wide communications via e-mail, flyer, newsletter, or website as appropriate and as directed by the Community Manager

• Provide exceptional customer service at all times to members of the association to include the provision of community information, pool and recreation center­ related passes, rental agreements and documentation, and design guidelines process assistance

• Ensure that the all community communications i.e. office and community bulletin boards, calendars and community website are up-to- date, orderly and organized

• Maintain reference files, procedural manuals, and other applicable documentation

• Maintain all computer database files and computer/office equipment

• Order and inventory office and janitorial supplies

• Property level point of contact for vendors. Compile vendor "to do" list and monitor work of vendors in absence of the Community Manager

• Conduct weekly (or more frequently, as may be necessary) inspections of the recreation center and common grounds

• Conduct inspections of homeowner lots for the purpose of enforcing the community's design guidelines and prepare and process documentation as appropriate

• Process modification applications and associated letters and documents where appropriate

• Work closely with the community's various committees and provide administrative support were required

• Open and date stamp all mail immediately upon receipt -distribute accordingly

• Be familiar with all governing documents, policies, rules, and regulations

• Assist in the mailing of newsletters and any other correspondence as instructed by the Community Manager

• Maintain emergency access keys/lock combinations and associated logs of same

• Perform other duties as may be assigned from time-to-time

• Attend Monthly Board Meetings

Qualification/requirement:

• Proficiency in Microsoft Office Suite, fax/copy machine

• High school diploma or equivalent

• Clear written and verbal communications

• Telephone, time management, and organizational skills

• Attention to detail

• Able to maintain and protect confidential information

Physical Ability:

• Tasks involve the ability to exert light physical effort that may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight

(5-10 pounds). Tasks may involve extended periods at a keyboard or workstation. Walking and standing for extended periods.
