Events Coordinator - Aslan Brewing Co.

Aslan Brewing Company (Aslan) is a B Corp based in Bellingham, WA, focused on producing and distributing world-class organic beer using local resources, low-impact practices, and socially equitable initiatives in order to promote a healthier, happier, and more conscious community.

Aslan is currently on the hunt for an experienced Event Coordinator to lead our ever evolving and ever growing Depot event space. From film premiers to weddings, and everything in between. This candidate will be the face of Aslan Events and work to ensure that each and every occasion is a moment to remember! This role is expected to be full time, ranging from 30 - 45 hours per week depending on season.

Job Summary: The Event Coordinator will manage the event process from start to finish while maintaining Aslan’s general mission and culture. The Event Coordinator works closely with Management, Marketing, and Operations on the successful coordination of private and public Aslan events, while also maintaining healthy client and vendor relationships.

Supervisory Responsibilities:

Oversees event staff for day of coordination.

Provides job feedback to event staff.

Provides input to Management on event staff performance.

Duties/Responsibilities:

Plans and executes private and occasional public facing events at the Aslan brewpub and the Aslan Depot.

Leads communication with external vendors, organizations, charities, regarding event details.

Maintains communication with GM’s to ensure proper staffing and materials are provided for day-of event execution.

Manages all external event correspondence and initiates Aslan team action items.

Works closely with Kitchen Manager to coordinate catering details for events, both public and private.

Prepares event staff to ensure a successful event with a high level of customer satisfaction.

Manages healthy vendor and client relationships.

Works with the accounting department to manage event budgets.

Works closely with Marketing and Design for visual asset creation, based on organization/client needs and requests.

Assigns event tasks to relevant team members based on support their department can provide.

Secures materials needed for each event and maintains inventory.

Schedules necessary follow up meetings with building managers, Marketing Director, or Operations Manager as details unfold.

Monitors and directs day-of event coordination to ensure smooth production.

Coordinates event timelines to ensure deadlines are consistently met.

Manages post event recaps and vendor/client appreciation.

Required Skills/Abilities:

Excellent verbal and written communication skills.

Thorough project management abilities.

Thorough understanding of Bellingham local demographic.

Excellent interpersonal and customer service skills.

Excellent organizational skills and attention to detail.

Strong analytical and problem-solving skills.

Strong leadership skills.

Ability to work an unconventional schedule based on event timing.

Education and Experience:

Bachelors degree in Hospitality, Event Management, or related field desired.

2+ years event management or coordination required.

Wedding planning/coordination highly desired.

Physical Requirements:

Prolonged periods of sitting at a desk and working on a computer.

Must be able to lift up to 75 lbs to assist with set up of events.

Must be able to work on feet for 10+ hours a day for day-of coordination.

Must be able to work an unconventional schedule due to event schedules.

Ability to read, write, and understand English.
