Administrative Assistant/Office Manager
Double J Excavating is hiring an Administrative Assistant to fit into our growing Company. Qualifies applicant to be involved with all aspects of the Company, including Projects, Finances, Employees, Compliance, Customers, etc.
Schedule is somewhat flexible and can be discussed. However, this position will likely be required to work approx. 25-40 hours/week which will be during normal business hours Monday-Friday.

Strong interest or prior experience in the construction industry
Ability to work independently and/or with little supervision
Computer savvy and a quick learner
Microsoft Office (Excel/Word/Outlook) proficient
Strong organizational skills/ability
Able to multi-task and work under pressure
Ability to adapt and be flexible in a continually changing industry
Strong written/grammar skills
Enthusiasm, professionalism, and a strong work ethic
Duties include -
Produce various documents & correspondence
Communicate various updates, discoveries, concerns, etc. with other team members
Maintain a strict level of confidentiality
Assist with Social Media updates
Assist with preparation of required project start-up paperwork
Assist with any necessary items needed for ongoing projects
Prepare monthly invoicing/project billings
Work with CPA in providing necessary information to keep financials up to date
Perform bookkeeping in QuickBooks (A/P, A/R, Payroll, etc.)
Pre-screen new employee applicants and maintain employee personnel files
Maintain all paper & electronic project and company files
Maintain all project safety & company safety requirements
Maintain all vehicle/truck registrations and licensing
Maintain proper insurance requirements, etc. for vehicles/truck/equipment
