Assistant Office Manager
Summary
Speedy Delivery LLC is looking for a full time Administrative Assistant that can provide assistance to the Office Manager. Duties include some bookkeeping & budgets, dispatching & routing, answering phones & customer service, and processing claims & KPIs (Key Performance Indicators). This includes knowledge of our dispatch and database applications.
Responsibilities
Answer phones & communicate courteously with customers by telephone, email, letter and face to face.
Schedule appointments.
Learn and perform routing, dispatch and customer service duties using our company applications.
Enter and record data into our company database.
Enter and record claims into our company claims log.
Investigate and solve customers' problems, which may be complex or repeat problems.
Keep accurate records of discussions or correspondence with customers and dispatchers.
Analyze statistics to determine the level of performance our organization is providing.
Meet with other managers to discuss possible improvements to company performance.
Some Accounts Payable and Accounts Receivable duties
Other Office Duties as Required
Qualifications
College degree preferred but not required.
Three or more years related administrative experience.
Computer Skills required: Word, Excel, Quickbooks, ability to learn new software
Customer Service skills required and must be a customer service oriented person.
Experience in third party logistics preferred but not required.
Skills
Communication skills that allow you to inform, help and advise customers clearly and to liaise effectively with other professionals.
Listening skills, to understand exactly what customers require;
problem-solving skills.
Confidence, patience, politeness, tact and diplomacy, when dealing with difficult situations.

Creative thinking, to be able to come up with new ideas to improve customer service standards.

Good personal presentation, especially when working with customers face to face.

Wage
$35,000+ DOE
