The Office Manager is responsible for supporting company operations that include maintaining office systems and equipment, office floor plans and moves, supervising general office staff, supporting company culture, and administering office programs and procedures.

Primary Responsibilities:

Updates contact list to ensure new employee are added and terminated employees are removed

Is responsible for managing C-level executive’s schedules and appointments

Manage vendor relationships for office (i.e. plant service, massage, building communications, carpet/paint/window other maintenance). This includes contract/pricing negotiations and invoice review

Monitor and maintain office supplies inventory ensuring adequate supplies are always available. Place orders and review/approve office supply acquisitions

Other duties as assigned

Assisting Responsibilities:

Assist HR in new hire orientation, including physical office set up, purchase of business cards, etc.Â

Assists HR and IT in the offboarding processing, routing emails and calls to next in line, removing from Cirrus, and changing out keys

Assists with the design and implementation of office procedures and policies

Provide support for front desk coverage/phone backup, maintenance, and stocking of conference rooms.

Coordination Responsibilities:

Coordinate office activities to align with company objectives

Order and coordinate the placement of office furniture/design materials

Coordinate agendas, venue/food/activities for corporate and team member events and special onsite events.

Distribute company-wide announcements from Management related to changes in policies and procedures

REQUIRED QUALIFICATIONS: EXPERIENCE, KNOWLEDGE, SKILL, AND ABILITY

High-school Diploma

Minimum of five (5) years of increasingly responsible experience managing office systems

Must be proficient with Microsoft Office applications, including Outlook, Word, Excel, Visio, and Powerpoint with advanced skills for exporting and merging information into documents.

Ability to operate standard office equipment including computers, copier, and electronic calendars.

Demonstrated ability to communicate effectively with a wide range of people in a professional manner using tact, courtesy, and good judgment.

Knowledge of business English, composition, spelling, grammar, and punctuation and demonstrated ability to efficiently compose and prepare correspondence and documents.

Ability to work independently completing assigned duties in a timely and efficient manner while maintaining accuracy and attention to detail.

Ability to organize and prioritize workflow in a changing work environment

PREFERRED QUALIFICATIONS: EXPERIENCE, KNOWLEDGE, SKILL, AND ABILITY

Bachelor’s degree from an accredited college or university is ideal or equivalent experience.

8+ years of increasingly responsible experience managing office systems
