Looking to hire a Facilities Project Manager. Coordinate Facilities purchasing practices and contracts review. Develop and communicate purchasing standards and procedures related to ordering, selection and tracking. Monitor compliance with purchasing standards. Negotiate with vendors for the purchase of materials and services. Provide space planning services.This job is in 3 parts:-Contracts-Purchasing-Space Planning

Provide project management services related to renovation projects, new site startups, site closures, capital and other Facilities projects as needed. For instance:

Develop project budgets, track expenses and ensure projects are completed within budget.

Develop project schedules, monitor milestones and ensure projects are completed on time.

Create and manage project work plans. Coordinate the work of internal and external team members. Communicate effectively regarding roles and responsibilities, priorities, progress etc.

Manage architectural and engineering design processes as needed. Solicit and facilitate internal input to ensure designs appropriately support operational needs and adhere to organization's Facilities standards.

Coordinate contractor, architect, developer and vendor selection and ensure process and results are well documented.

Track lien rights and ensure all rights are appropriately waived, documented and filed.

Work with Development team to coordinate grant requirements and ensure compliance.

Coordinate project insurance, assist with organization's property insurance needs and process insurance claims.

Provide effective, reliable and responsive support to operations teams.

Provide project Management services related to purchasing projects using RFP and vendor selection processes, coordinate contract negotiations, implement new vendors or services etc.

Coordinate real estate portfolio activities - lease administration and negotiation, site acquisitions and dispositions, record keeping.

Review contracts and leases, advise on terms, negotiate terms as needed and track compliance. Plan and oversee physical moves, including scheduling, vendor and staff coordination, training and orientation, safety, compliance, budgeting and expense tracking etc., as needed.

Maintain comprehensive project records in shared storage.

Provide space planning services, to include furnishings and equipment layout, code compliance, associated facilities modifications, inventory creation, order placement, documentation of bid processes, scheduling and team coordination, invoicing, etc., as needed.

Provide services to maintain furniture and equipment standards catalog.

Track and redistribute surplus furniture and equipment, as needed.

Assist in the development of budgets, compiling information from recent purchases and gathering vendor input as warranted. Track expenses relative to budgets and compile backup documentation for grant sources and others.

Assist in the creation, implementation and maintenance of department documents and systems. For instance standard operating procedures, forms, templates, reports, materials library.

Provide services to coordinate insurance needs and records. Maintain and track vendor insurance records, ensuring compliance. Participate in review and tracking for NCH insurance limits, as needed.

Perform other duties as assigned.

MUST HAVES:

3-years facilities project management.

Ability to perform space planning to create functional and efficient spaces, including furniture and equipment needs and familiarity with related code requirements.

Ability to create and implement detailed work plans.

The Opportunity with McKinstry We are currently seeking an Enterprise Project Manager is responsible for the delivery of key initiative that cross departments, with special focus on the alignment amongst Corporate Service Units. Each initiative will be different but may include team formation, defining requirements, validating designs, integrating systems, testing solutions, planning cutover and preparing end-users and managers including new/updated process and policy documentation. This can be a remote role. To achieve this, this role will need to: Provide strong program and project leadership to McKinstry teams. Develop strong, collaborative relationships with leaders, peers, project teams, both internal and external stakeholders as well as employees. Demonstrate political acumen when navigating potentially disruptive efforts across McKinstry. Have a strong understanding and practice of change management and the organizations capacity to change in a dynamic environment. Drive critical decision making in an efficient and inclusive manner. Understand and be able to represent the unique needs within McKinstry. Ensure that McKinstry\'s multiple, inter-related systems and business processes are successfully considered with an eye for enterprise benefit, addressing unique needs where justified. Support and advocate for consolidated, upgraded and standardized processes in order to provide reliable, integrated, consistent and efficient corporate service support Drive the work McKinstry teams need to accomplish even in the midst of ambiguity and/or competing priorities There are a number of key initiatives underway across McKinstry. As such, the project manager will need to work effectively to get up to speed quickly while keeping the project moving forward according to the agreed upon project timelines. Additional responsibilities include: Relationship Management : Maintain strong relationships with leaders, peers, project teams, both internal and external stakeholders as well as employees. Keep teams well informed of project status, risks and issues; support leaders in their interactions with other impacted parties. Team Leadership : Support, develop and train the McKinstry project team members; ensure team member have access to the resources and information necessary to do their jobs; ensure strong collaboration between the project team and their colleagues in other areas of the business Project Plan Management : Manage the project plan and ensure it is well integrated with the overall CSET program plan; develop plans for addressing any work items that are running behind schedule.
