I am looking for an upbeat, outgoing multitasker who is organized, pays attention to detail, and enjoys working with customers.

18-33 Hours/Week. $17-$24/Hour DOE. Part-Time/Permanent.

Schedule - Please read this part very carefully.

This is a tax office and the hours of our work schedule are very seasonal. Please do not apply if this schedule will not work for you. We have an Off Season and a Tax Season. The hours will typically be:

​Off-Season May through Mid-January Monday/Wednesday/Friday 9am-3pm (18 hours/week) This is the season we are currently in.

Tax Season Mid January through April Monday/Wednesday/Friday 9am to 5pm (sometimes 6pm) and Saturdays 10-4 (30-33 hours/week) During tax season, Saturdays are mandatory.

Additional hours will be offered when there is extra work or need (this typically occurs as we near deadlines). This is a permanent position and I am looking to bring somebody in now.

​As the office administrator you will mainly be responsible for:

In-person customer service including client in-takes and pick-ups. Support to the owner. Managing company emails. Utilizing our Customer Management program to respond to client messages, send/receive files with clients, and track them through our job processes. Answering a multi-line phone and filtering incoming messages. Some basic/light Data Entry, Bookkeeping and Payroll for clients. Printing and compiling the finished work product such as tax returns, bookkeeping packets, and payroll quarterlies. General office duties such as scanning, filing, copying, faxing, and boxing client files. Cleaning and organizing the office and back storage areas. Additional tasks may be assigned depending on need and experience.

​You may be a good fit if you:

Keep lists, notes, and calendars to remind you about details so you don't forget anything important. You have a need to double check your own work and love systems and routines.

​Notice small details that others easily miss or gloss over. You do the tasks in front of you, but can also use critical thinking when you notice those small details to identify if there are additional needs or concerns.

​Take pride in your work and the completion of tasks no matter how easy or mundane. It feels good to get stuff done.

​Enjoy working with people and jumping on the phone to talk to someone or inviting them into your space for a chat comes easily to you. You know how to be friendly, but also how to set boundaries between you and the customer.

Know how to use computers, can draft a killer email, and have no problem replacing the toner in the printer.

​Love working independently. You like being set loose on a task and given the freedom to just work and get it done without micromanagement.

Love learning new things and you know what tools you need to be able to remember what you learned.

Aren't afraid to speak up and ask questions if you don't understand something, don't quite feel like you're doing it or remembering it correctly, or didn't quite hear what was instructed even if it feels out of your comfort zone.

​Aren't afraid to ask for help if something feels too big, too overwhelming, or too complicated - even if it feels silly and you feel you should be able to do the thing without help.

Experience:

Experience with computers, email, and internet required. Office experience preferred.

​Must be able to type and have legible handwriting. 10 Key is a plus.

High School Diploma or GED preferred.

​Must be able to conduct yourself professionally. Must not be too shy to initiate customer interactions. Customer service experience preferred.

​Bookkeeping experience is a plus.

Quickbooks and/or Microsoft Office experience is a plus.

While experience is preferred, we are willing to train the right individual who has the attitude, personality, work ethic, attention to detail, and willingness to learn and carefully follow instructions that we are looking for.
