Cornerstone Advisors, Inc., a comprehensive wealth management firm for high net worth individuals, families, and their related entities has an opening to join their team as an Office Associate. You will be a member of the client management team coordinating assigned aspects of office administration and client management support while ensuring front-line representation of our business to our clients, visitors, and vendors.
RESPONSIBILITIES
Have you worked in a professional-services environment? Excellent! Are you familiar with CRM activities? Even better! Here is what we need you to handle:
Open and close office following procedures
Answer incoming phone calls and greet visitors
Maintain reception, kitchen and conference rooms
Monitor Outlook meetings and conference room calendars
Pick-up, open and distribute mail
Administer incoming and outgoing UPS/Fed Ex/courier packages
Miscellaneous projects as time permits
Monitor office supply usage and stock
Assist in the set-up of new engagements; including preparation of account paperwork, data entry, locating off site files, copying, budget data entry, and cash flow research.
Custodial account administration including wire transfer, account disbursement, and follow up
Assist in preparation of financial review reporting for client meetings including tracking review schedules, reports, agendas, and tracking key dates.
Report binding and mailing
Scan-stampingĀ in anticipation of document scanning and retrieval needs
Process correspondence (copying, mailing, faxing, etc.)
Coordinate/complete Cornerstones Concierge ServiceĀ requests
Communicate with clients and Client Managers throughout the fulfillment process of Concierge requests
Utilize CRM software to track and complete Concierge requests
Memorialize the service offering into success stories for the Cornerstone website and Playbook
Coordinate marketing activities to support client experience growth and improvement
QUALIFICATIONS & REQUIREMENTS
To be considered for this position we need you to have an AA degree and 3-5 years of applicable experience. And, it needs to have been in a professional office environment, preferably in legal, wealth management or tax. Please be a self-starter with the ability to work independently under limited supervision and also possess the skill and desire to work with and support your team members. Certainly you need to have attention to detail, superior follow up skills, and effective and professional communication, verbal and written. We also need for you to have excellent interpersonal and relationship-building skills, along with a commitment to confidentiality. Please be competent with MSFT Office products, including Outlook.
