Part-Time Administrative Assistant for Arts Non-Profit

Seattle Men's Chorus and Seattle Women's Chorus is seeking a part-time administrative assistant.

The Administrative Assistant reports to the organization’s Development, Operations, and Data Manager. The Administrative Assistant manages the daily operations of our office. Although this role will serve as general admin support for all staff, it will specifically support box office customer service on a regular basis. This is an in-person position.

Duties and Responsibilities

- Mailing: Tickets, thank you and anniversary cards, holiday cards, checks and invoices

- Reception: Package unboxing/distribution, incoming mail distribution, payment receipt and distribution, postage management

- Printing: Compiling binders of music and production materials, scanning music and production materials, fulfilling print requests from other departments/remote employees

- Data projects: Compiling music repertoire lists, updating auction information, updating patron information

- Answering phone & directing calls

- Assisting departments that need help

- Other duties as assigned.

Qualifications

- Required education of high school diploma or GED equivalent

- 2+ years’ experience in office support role performing administrative tasks

- Computer proficient in Word, Excel and Outlook, WordPress

- Excellent verbal communication skills

- Ability and willingness to work independently and/or collaboratively with a helpful attitude

- A professional and courteous attitude while dealing with a wide variety of stakeholders, both in person and over the phone, including patrons, donors, Chorus members, volunteers, Board members and the general public

- A healthy curiosity and interest in searching for and creating new efficiencies in data management

- An attitude of ownership and continuous improvement towards your scope of work responsibilities.

- Availability to work evenings and weekends on occasion

- Superior interpersonal, motivational and organizational skills with strong attention to detail

- Ability to work independently on multiple projects

- Ability to lift up to 30lbs.

- Comfort in working with people of varying backgrounds and sexual orientations

Benefits and Compensation

FHP part-time employees receive pro-rata sick and safe leave

Part-time, 20 hours per week, max (4 hours a day, 5 days a week – with flexibility as needed)

$25/hour
