Under the direction of the Scheduling Coordinator, the Office Billing Coordinator and Bookkeeping, this person will work with office staff to assist in various office duties on proprietary software, Microsoft Office and Publisher, to provide services that includes: answering phones, customer service and scheduling.
Duties:
First point of contact for office phone coverage
Assist with quarterly company newsletter (Publisher)
Review and distribute all voicemail as needed
Troubleshooting customer inquires, directing calls to correct personnel
Assisting colleagues by printing and organizing managing all filing
Assist schedulers with updating scheduling boards
Assist with reviewing/creating work orders pulled and dispersing to correct office staff for billing
Answer customer scheduling questions and update schedule according to customer needs
Ensure needed maps and backup information are sent and available for jobs
Providing technicians with customer information as needed
Request of permits and 811 calls
Assist with call log maintenance
Check email daily, filing, faxing and mailing preparation
Update routes, scheduling, maps and books
Position Requirements:
2 years professional experience as an Administrative Assistant
HS Diploma or GED
Proven history of excellent attendance
Proven history of excellent Customer Service Retention skills
Working knowledge of office equipment, like printers and fax machines
Proficiency in MS Office (MS Excel and Publisher, in particular)
Excellent time management skills and the ability to prioritize work
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Strong organizational skills with the ability to multi-task
