There is one opening with Yakima County Public Services, Administrative Division. This position is responsible for processing records into a digital imaging system in accordance with established procedures, responding to records' requests, and providing general office support.Â

This recruitment may be used to fill other Office Assistant positions within 90 days of the closing date of this recruitment.

Applicants must successfully complete an alphabetization,Âgrammar, spelling and punctuation test with a combinedÂaccuracy of 75%.ÂTest must be completed prior to 4:00pm on the closing date and are given in the Human Resources Office, 128 N 2nd Street, Room B-27 with the last test given at 3:30pm.

Processes records into a digital imaging system in accordance with established procedures by organizing, alphabetizing, scanning and filing various records and documents; prepares documents; creates the batch; loads machine; selects appropriate commands and enhancements; monitors the imaging product through spot checks to ensure documents meet quality standards and will be accessible in the future. Uses the imaging software to find a file/document, to append (add) documents to existing records, and to retrieve information as needed.

Responds to requests for information from other department staff, other agencies, and the public following standard procedures. Retrieves and files records ensuring records remain in the approved order; routes records or documents to requesting party. Pulls and/or returns inspection files following standard procedures.

Organizes, sorts and files various divisions' project documents as directed by supervisor.

Â

Gathers, organizes, copies, binds and prepares documents, files and informational packets.

Â

Opens, sorts, date stamps and distributes incoming mail; prepares outgoing mail.

Â

Performs other duties as assigned.

Education and Experience: High School Diploma/GED and six (6) months of general experience or training related to office support functions or an equivalent combination of education and experience which provides the knowledge, skills and abilities sufficient to successfully perform the essential duties the job.

Required:ÂÂ Must successfully complete an alphabetization, grammar, spelling and punctuation test with 75% combined accuracy, to qualify for an interview.

Â

Valid Driver's license and proof of insurance, if requested.

Â

Preferred:ÂÂ Customer service experience, Experience using document scanning equipment and software

Â

Equipment Used: Computer, calculator, copier, printer, fax, phone, Internet; telephone; audio-visual equipment; and common office equipment, passenger vehicle

Â

Working Conditions/Physical Requirements: Environment: Excessive noise, multiple work locations. May be required periodically to work at alternate work locations. Physical Demands: bending, balancing, carrying, climbing, handling, lifting, crouching, pulling, pushing, reclining, reaching, sitting, standing, walking, fingering, crouching, kneeling, reclining, hearing, talking, visual acuity. Must be able to lift up to 35 lbs. Intellectual Demands: ability to multitask, confidentiality, ability to work under pressure, ability to articulate and communicate information in conversations, ability to follow written and verbal instruction. Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
