In cooperation with the health education team, this Office Assistant position is responsible for providing receptionist services and general administrative assistance at CVTC’s Health Education Center (HEC). This position is under the direct supervision of the Executive Dean of Health and general supervision of the Dean of Nursing.Responsibilities:

Serve as office receptionist and point of contact for telephone and walk-in customers; provide accurate information in a courteous, friendly, concise, and approachable manner.

Demonstrate a strong commitment to providing exceptional customer service.

Provide general clerical support for the division.

Prepare various materials utilizing Microsoft Office and Google Suite.

Maintain certified nursing assistant student files and prepare course packets.

Assist Compliance Coordinator with nursing student files.

Serve as general building contact for deliveries, short-term events, and facility workorders.

Assist with notifying students of canceled classes.

Distribute mail and order supplies.

Schedule room reservations for HEC rooms using Banner.

Schedule and assist with preparation for meetings for HEC staff (e.g., reserve room, order food/refreshments, prepare technology).

Maintain printer/copier and other supplies for office area.

Assist Program Assistant and Deans in scheduling functions.

Assist health faculty with various tasks such as modification of documents and student data portals.

May direct activities of work-study students.

Required Knowledge, Skills and Abilities:

Knowledge of general office policies and procedures.

Possession of strong prooing skills.

Ability to keep accurate and detailed records.

Ability to work effectively as a member of a team.

Ability to work with many interruptions in a multi-task environment.

Ability to model integrity through self-awareness, personal accountability, ethical behavior, quality standards, and sustainable practices.

Ability to think critically by applying problem solving practices, acquiring relevant information, using technology and other resources appropriately, and evaluating alternatives.

Intermediate skills with technology including software programs for communication, data collection, and decision making including, but not limited to, Microsoft Office and Google Suite.

Associate’s degree in Executive Assistant or related area.

Two years of experience working in a professional office environment performing general office functions in a customer-facing role.
