The Role: AE is looking for a highly organized, trustworthy, and detail-oriented Contract Administrator and AE champion to join our team. The Contract Administrator (YOU?!) is a hyper-detailed team player, who collaborates across departments, as well as outside Clients and Partners. You confidently and responsibly act as a source of information, always assessing the effect of your work on the organization. You are able to prioritize and perform a variety of complicated tasks and rely on your experience and judgment to plan and accomplish goals. You enjoy reading the fine print, responding to inquiries, being organized and keeping track of things, and reviewing contracts for risk and compliance management.
A Day in the Life:
Client and Partner related document review, tracking, and maintenance (25%)
Provide initial review of master client and partner documents and coordinate completion of documents
Maintain all required records of contracts such as negotiations, alternative terms & conditions, expiration dates, etc., and monitor compliance in the process and administration of contracts
Support and coordinate the onboarding of new clients, partners and employees in company systems
Services related document review, tracking, and maintenance (25%)
Provide initial review of Project related documents (Statements of Work, Subcontractor agreements, Work Orders, etc) and assist team to completion
Create and maintain templates for services teams and review for compliance and adherence
Assist with the process of onboarding new Subcontractors and project resources in company systems
Collect and maintain all company and client required documents for all project resources
Project and Product Renewal Tracking (25%)
Track Budget to Actual numbers for Professional Services engagements and provide reporting to internal teams
Work with Project Management and Accounting to create project close process and ensure adherence
Work with Quoting team to review renewal dates and communicate upcoming renewals
Internal Risk Management and compliance (25%)
Ensure that all company documents contain the proper terms & conditions and work with teams to ensure internal compliance
Review terms and conditions of purchasing and Vendor related documents
Coordinate and assist with the review of HR Policies and document policy changes
Create standard review process of all internal policies (HR Policies, IT Policies, etc.) and maintain adherence
Track and maintain the compliance of internal risk management topics (annual compliance training, annual reporting and certification requirements, required notifications, etc.), communicate action items with internal teams and ensure completion
What You'll Need:
Proven work experience as a Contract Administrator, Contract Coordinator or relevant role
Comprehensive understanding and experience of the key concepts and provisions of contracts
Familiarity with accounting procedures
Excellent communication and writing skills
Keen attention to detail, with ability to spot errors
Strong analytical and organizational skills
Experience using and navigating contract management systems, content sources like SharePoint, billing systems and workflow tools
Demonstrated familiarity with following processes and documentation of those processes
Strong written communication skills and general writing skills
Project management and Organizational skills; ability to work collaboratively across multiple departments
Requires knowledge of the information technology industry and knowledge of common commercial contracts terms used in the IT industry
Should be a self-starter who is able to prioritize matters in a fast-paced high-pressure team environment
