Job Purpose
Since 1993, RMHC-Madison has been keeping families with sick children close to each other while they receive medical care at area hospitals. Through three core programs – the Ronald McDonald House, the Ronald McDonald Family Room at SSM Health St. Mary’s Hospital-Madison, and Ronald McDonald Care Mobile – we provide access to quality healthcare to thousands of families annually and ensure they have the support needed to fully participate in their child’s care.

RMHC provides a home-away-from home with comfortable rooms, meals and assistance for families travelling hours, even a plane ride away from their child’s medical care. The Volunteer & Operations Coordinator advances our mission by recruiting, training, orienting, and appreciating more than 120 volunteers to enhance the overall experience for families staying at the RMHC-Madison House. They will develop and implement strategies to support the unique needs of our families while building a compassionate, supportive, and positive environment by building relationships to promote volunteering through community events, volunteer fairs, and public speaking opportunities. This role also supports the operational needs of the organization including administrative duties as well as regular interactions with families including providing information, insight, and support.

The Volunteer & Operations Coordinator maintains effective communication and working relationships with staff, volunteers, families, and the community to maximize utilization of volunteers and promote volunteer programs. This individual must be both technically savvy and have a mature mindset to keep our volunteers engaged, appreciated, and accountable. Assists with overall program development, project management, strategic planning, and annual events.
Job Responsibilities
Volunteer Management – 80%

  • Effectively manages, communicates, and implements all aspects of RMHC-Madison volunteer programs including recruitment, orientation, training, retention and recognition.
  • Serves as liaison and represents RMHC-Madison at volunteer recruitment events and other events/functions designed to advance the mission and create organization awareness.
  • Staffs, coordinates, and facilitates the in-house volunteer program, the Van Program, and the Meal Program.
  • Works closely with other RMHC-Madison staff to coordinate large volunteer groups.
  • Develops and implements effective recruitment/retention strategies.
  • Onboards and orients volunteers and provides appropriate training to address changes.
  • Maintains accurate records in the volunteer database and reports data to the House Director.
  • Maintains supportive and open communication to ensure volunteer needs are met and issues are addressed.
  • Completes an annual survey of the volunteers to ensure continuous improvement of the program.
  • Plans and executes a volunteer appreciation event annually.

Operations Support -20%

  • Attending meetings and providing support for Committees through calendar management, note taking and record tracking, including but not limited to the Operations Committee and the Building Committee.
  • Providing tours of the House to families, visitors or donors as needed.
  • Checking guest families in and out of the House.
  • Assisting with House front desk activities, such as answering phones, guest inquiries and daily mail logs.
  • Assist with other duties in the House if a volunteer is not otherwise available, such as making lunches or driving the van.
  • Other duties as needed to support the organization.

Qualifications

  • Valid driver’s license in the State of Wisconsin
  • Bachelor’s Degree and/or 3+ years of experience in successful volunteer management, nonprofit organization, hospitality, customer service, or similar industry
  • Natural ability to demonstrate a caring attitude towards guests, volunteers, donors and other people who interact with the organization.
  • Outstanding verbal and written communication skills.
  • Strong interpersonal skills. Must be able to present oneself professionally at public events.
  • Ability to work well as part of a small, dynamic team, as well as independently and remotely.
  • Demonstrates strong judgement skills and attention to detail while meeting deadlines.
  • Proficient in Microsoft Office products.
  • Knowledge and skills working with a diverse clientele.

Preferred

  • Proficiency in a second language.
  • Experience with volunteer management software.
  • Previous experience working in a volunteer coordination role for a nonprofit organization.

Physical Demands and Work Environment:

  • Position is full-time with primary hours falling during normal business hours with occasional night and weekend hours according to needs of the organization and scheduled events. Limited remote work may be available for this position.
  • Position works in an office environment that is set in a home-like environment.
  • Some light housekeeping and light lifting (up to 20 pounds) may be required.
  • Ability to access all areas of the House and grounds, including going up and down stairs.
  • Other physical demands include: walking, sitting, standing, bending, climbing, and using hands to, handle, or feel objects, tools, or controls; reach with hands and arms; balancing; stooping; talking, hearing, reading, counting, and writing.
  • Ongoing daily use of computers and telephone and must be able to work with frequent interruption and low to moderate noise level.
  • Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to focus.
  • Travel for various activities locally required.
