Responsibilities for the Administrative Assistant position include:
- Responding to phone and email inquiries from licensees, employees, applicants, regional staff, and the public regarding background checks
- Monitoring and processing background check tasks
- Entering background check fees into a database and preparing deposits
- Attending meetings to provide input and recommendations on procedures, workload, and improvements to program efficiency
- Generating weekly reports to determine if the subjects of background checks have new criminal charges, and initiating findings for follow up as necessary
- Accurately entering background check information into the database as records are received
- Following up with other agencies and the subjects of background checks to obtain additional documentation
- Accurately documenting background check case progress and possible delays
- Uploading documents and key information to the database, ensuring all records are accurate and legible
Qualifications for the Administrative Assistant position include:
- At least 1 year of demonstrated experience in an administrative role
- Demonstrated experience typing/keyboarding at 40 wpm
- Proficiency with Microsoft Office, including Excel and Word
- Associates Degree or higher preferred
- Qualified candidates will possess strong customer service and organizational skills, including the ability to manage multiple priorities
- Candidates should also possess excellent written and verbal communication skills, and work well in a team environment
- Candidates should possess excellent problem-solving skills, as well as the ability to make independent judgments
Other Information regarding the Administrative Assistant position:
- Duration/Hours: Full time, 40 hours/week
- Shift/Work Days: 1st shift, Monday Friday
- Pay: $13.00/hour
- Benefits: Not available with this position
- Work Location: Madison, WI (contract work at a client site)
Qualified candidates may have prior experience working as an office assistant, administrative assistant, receptionist, or clerical assistant.
